Victoria Newitt Recruitment has been retained by our 'Client' to search for an Executive Assistant .

We are looking for an enthusiastic individual to provide effective and pro-active executive assistance to the Executive Vice President & COO.

The ideal candidate will be experienced in handling a wide range of administrative and executive support tasks and will be able to work independently with little or no supervision.

This person must be well organized, able to prioritize their workload and have the ability to interact with staff (at all levels) and clients in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism.

Duties & Responsibilities

Conserve executive’s time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information;

initiating telecommunications.

  • Maintain calendar and arrange meetings and appointments.
  • Organize time according to priorities and schedules and ensure that the executive has necessary background material and are briefed prior to all meetings.
  • Create and review documents and reports and follow up with outside parties as required.
  • Schedule client, vendor and partner meetings. Research clients and companies and provide bios prior to meetings.
  • Coordinate travel and accommodations.
  • Prepare meeting agendas and prepare minutes for meetings when requested.
  • Assist in creating board reports and presentations.
  • Uphold a strict level of confidentiality.
  • Available after regular business hours from time to time.

Education and Experience

  • Minimum three years’ experience supporting at a senior management / executive level.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint, Outlook and SharePoint.
  • Experience with Salesforce an asset.
  • Strong organization, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Upbeat, positive, outgoing, personable and able to relate well with diverse groups.
