Job Description :
We are looking for an Executive Assistant to assist our client, a leader in environmental sustainability, in supporting their Executive Vice President and top executives in their office in downtown Vancouver.
This hybrid role, with 3 days in-office and 2 days remote involve managing executive calendars, setting up meetings, planning trips, processing expense reports, and other crucial duties all depend on this position.
A high degree of professionalism, polished presentation, and experience working with C-suite executives are essential for success in this role.
The ideal candidate is a proactive, well-organized, flexible team player who enjoys working in a fast-paced, dynamic environment.
This role is ideal for someone who wants to promote efficiency and smooth executive support because it requires excellent communication, confidentiality, and problem-solving skills.
What You’ll Do :
- Lead by example in promoting safety and adhering to safety and environmental protocols.
- This role requires experience supporting C-level executives, with a polished, professional demeanor. While not a PA role, responsibilities include organizing in-office lunches and events for the CEO and executive team.
- Arrange detailed domestic and international travel, including itineraries, check-ins, and booking flights, hotels, and transportation.
- Identify emerging issues, assess urgency, and compile background information for executive decisions and follow-up.
- Assist with email management, maintaining a priority list of tasks and follow-ups.
- Prepare letters, reports, and presentations, supporting strategic planning and time management.
- Coordinate site visits and customer interactions, including international office visits.
- Handle and process expense reports efficiently.
- Adapt quickly to evolving needs, including changes in meeting or travel requirements.
- Maintain strict confidentiality for all sensitive information and documents.
- Provide administrative support for additional team projects as needed.
- Be available for after-hours support in case of urgent matters.
What You Need :
- Minimum of 5 years in a senior support role within a fast-paced organization.
- Proficiency in core Microsoft Office applications, Adobe Pro, SharePoint, and MS Teams.
- Excellent verbal and written communication skills; bilingual (Spanish) is an asset.
- Professional interpersonal skills with experience interacting at executive levels.
- Strong critical thinking, problem-solving, and independent decision-making skills.
- A self-starter with a team-oriented approach and strong organizational abilities.

This role offers a competitive salary range of $70,000 - $80,000, based on experience and skills, along with an 8% performance-based bonus.
