As Customer Service Rep / Administrative Assistant you will be the first point of contact for incoming customers, clients, and callers.

This position will model our principal values, understanding the important commitment to professionalism and customer service.

The core of this role supports the flow of clients to the showroom, while also executing other administrative duties for general administration within the organization.

Essential Functions

bull; Being the first point of contact to all clients and visitors to our building, greeting them in a friendly and professional manner, and directing them to the appropriate contacts as needed

bull; Handling, screening, and redirecting all incoming calls in a courteous manner

bull; Responding to all general email inquiries in a timely manner and redirecting to appropriate personnel

bull; Assisting other Sales departments with data entry and other administrative duties, as required

bull; Coordinating support for art consultant projects / orders, such as work order input, external décor ordering, installation quote inquiry, installation set-up / pick-up, etc.

bull; Prepping original artist documents and facilitating the Showroom price labeling for new products, as instructed by Manager

bull; Performing cash & carry sales in the Showroom when needed

bull; Overseeing the client's drop off / pick up for custom projects as needed for appointments / projects, and relaying info to appropriate consultant, calling and coordinating client pick-up and invoice payment

bull; Coordinating client invoicing with accounting; filing all invoices for client pickup

bull; Cleaning and overseeing the upkeep of all framing tables daily, replenishing specific supplies when low and returning all frames / products to their appropriate place

bull; Cleaning and maintaining reception space, ensuring it is tidy and presentable to clients each day

bull; Maintaining office supplies and placing orders with relevant vendor(s); monitors and orders coffee, tea, water and other catering / goods as required

bull; Assisting with organizational administration, meeting requirements, food orders, office supply orders

bull; Supporting employee information delivery – benefits, employee info packages, etc.

bull; Greeting interview candidates and providing assistance as required

bull; Perform other duties as assigned by management

Job Qualifications

Education : College or University degree is considered an asset

Experience : The ideal candidate will have up to 2 years previous office administration and / or relevant customer service experience inclusive of responsibilities

bull; Strong attention to detail and well organized

bull; Strong ability to multitask and prioritize on the fly

bull; Strong problem-solving skills and ability to diffuse client escalations

bull; Excellent verbal and written communication skills

bull; Professional phone manner and appearance

bull; A collaborative and flexible team player

bull; Previous sales skills in a retail environment are an asset Software Application and Technical Knowledge : • Proficiency with Microsoft Suite –

Office Professional (Excel, Word, Outlook), Sharepoint, Visio, MS Project, etc.

bull; Proficiency with organizational or enterprise-wide software
