Role Overview :
We are seeking a seasoned Information & Document Control Lead with a deep background in the Oil & Gas sector to oversee the full lifecycle of project records and documentation. In this strategic role, you will be responsible for the overall performance of the document management system, advising on complex processes, and establishing protocols for both internal teams and external stakeholders.
You will lead the Document Control team, ensuring that all information management aligns with the Capital Project Management System (CPMS) and supports the rigorous demands of large-scale energy initiatives.
Key Responsibilities
Leadership & Strategy
Team Management : Oversee day-to-day activities of the Document Control team; provide mentorship, direction, and training to ensure a consistent approach across the project.
Strategic Planning : Develop, maintain, and support the project’s Information Management Plan, including strategies for Internal / External SharePoint sites, EDMS, and physical archives.
Process Design : Conduct business analysis of information flows to determine and implement document control processes that support core business functions.
Continuous Improvement : Lead self-audits to identify gaps, implement corrective actions, and optimize SharePoint systems and workflows.
Execution & Operations
Protocol Establishment : Define and enforce document control protocols for internal staff and external contractors / vendors.
Field Integration : Develop and implement specific Document Control practices for field offices, collaborating directly with field staff to ensure compliance.
Project Management : Manage multiple initiatives simultaneously, providing detailed progress reporting and status updates to leadership.
Stakeholder Collaboration : Partner with team members and stakeholders to protect sensitive information and meet project schedules and quality requirements.
Training & Support
Resource Development : Coordinate the publication of training materials, FAQs, and "cheat sheets" to streamline system adoption.
Education : Plan and facilitate training sessions via in-person meetings, conference calls, or WebEx to ensure project-wide competency.
Qualifications & Requirements
Experience : Minimum of 10 years of experience in Document Control and Information Management is preferred.
Industry Expertise : Proven experience within the Oil & Gas industry is mandatory. Must be familiar with the documentation requirements of large-scale capital projects.
Technical Proficiency :
- Advanced expertise in SharePoint (Internal, External, and Vault sites).
Expertise in EDMS (Electronic Document Management Systems).
Familiarity with Capital Project Management Systems (CPMS).
Analytical Skills : Strong ability to conduct business process analysis and map information flows.
Communication : Exceptional leadership skills with the ability to consult and make high-stakes decisions regarding project requirements.
