Position Description:

The Document Control Coordinator – Construction supports the construction process by assisting with the organization and file management of project documents throughout the duration of a construction project.

The position will initially be based out of our main office in Edmonton, Alberta, with the role later shifting to a project site located near Fort Saskatchewan, Alberta.

Essential Duties & Key Responsibilities:

  • Project execution and document control responsibilities including drawing management and maintenance, and owner supplied documentation.
  • Project closeout responsibilities including assisting with inspections, owner training, managing the O&M Manuals, reviewing, tracking, and communicating punch and deficiency lists, removing all insurance, closeout of utilities and site services, and removing temporary facilities.
  • Maintain the integrity of the QA/QC plan.
  • Facilitate, record and compile meeting minutes; follow up on action items.
  • Track productivity and performance of the project.
  • Project accounting basics.
  • Adhere to Clark Builders’ policies and procedures and aid others in compliance.
  • Support and grow ongoing trade partner and client relationships.
  • Lead the organization of and maintain up-to-date project engineering logs, including RFIs (Requests for Information), submittals, and approval letters.
  • Organize and ensure access to current documents (e.g., drawings, specifications) issued by Architect for project staff.
  • Organize and maintain complete historical set of project documents.
  • Coordinate subcontractor submissions for approval and maintain up-to-date subcontractor submittal files consisting of shop drawings, samples, and product data.
  • Coordinate timely submission of orders for project documents and/or make copies of documents on demand.
  • Organize inventory of records retention at conclusion of project, including off-site storage.
  • Other activities, duties, and responsibilities as assigned.
  • Provide professional customer service and positive interactions while processing day-to-day administrative items and supporting local business unit staff.
  • Edit and assemble documents and reports for department head/manager.
  • Understand contract and bonding process and escalation procedures.
  • Organize and provide assistance during meetings as requested; record, transcribe, and distribute meeting minutes.
  • Maintain organized filing systems and coordinate document retrieval schedules.

Qualifications:

  • Certificate in a construction related discipline
  • 2 + years’ experience working as a Project Coordinator for a Commercial, Industrial, or Institutional Construction organization
  • Experience with Procore® an asset
  • Experience with various types of construction contracts
  • Excellent communication, interpersonal and organizational skills
  • Analytical thinker with ability to interpret complex information and recommend innovative solutions
  • The ability to read, understand and interpret technical drawings and specifications
  • Proficient computer and data entry skills, Microsoft suite of applications
