Job description

Position Summary

Divine Flooring is seeking a highly organized, proactive, and adaptable Executive Assistant to support our CEO in a permanent, full-time capacity.

This role goes beyond traditional executive support. While you will manage scheduling, communications, and administrative priorities for the CEO, you will also gain exposure to sales operations and project coordination within the construction industry. This role includes attending site visits, assisting with measures, and supporting estimating processes to ensure smooth project execution.

This is an ideal opportunity for a driven professional who thrives in a fast-paced environment, enjoys variety in their day, and wants meaningful exposure to business operations, client relationships, and leadership decision-making.

The successful candidate must have access to a reliable vehicle to use for work purposes.

Specific Responsibilities

Executive & Administrative Support

  • Prepare reports, presentations, internal communications, and meeting materials.
  • Act as a gatekeeper and liaison between the CEO and internal employees.
  • Assist with tracking company initiatives, projects, and follow-ups to ensure execution.
  • Maintain confidential information with discretion and professionalism.

Operational & Project Support

  • Attend occasional site visits with the CEO or sales team to support client meetings and project assessments.
  • Assist with on-site measures and gathering information required for project estimates.
  • Support preparation of estimates and project documentation, including uploading floorplans and completing takeoffs as needed.
  • Coordinate with internal departments to obtain product information, job statuses, and material ETA’s.
  • Input and manage data in Divine Tracker, including materials, quantities, floor plans, and work orders.
  • Help ensure seamless communication between sales, operations, installers, and leadership.

Client & Stakeholder Coordination

  • Communicate professionally with builders, designers, retail customers, and trade partners.
  • Assist in resolving client concerns by gathering information and coordinating solutions.
  • Support follow-ups on deposits, documentation, and project timelines as required.
  • Represent Divine Flooring at company or client events when appropriate.

Position Requirements

What You’ve Done

  • High school diploma or GED required.
  • Post-secondary education in business administration, management, or related field considered an asset, but not required.
  • 2+ years of administrative, executive support, or coordination experience preferred.
  • Experience in construction, design, or sales environments considered an asset.
