Job description

Are you an organized, detail-oriented, and proactive administrative professional looking to take the next big step in your career with an industry-leading organization in Surrey, BC? We are actively seeking a versatile and highly capable Administrative Assistant to manage dynamic daily office operations, vehicle disposition processes, financial administrative tasks, and complex logistical coordination. In this key operational role, you will serve as a central anchor for business administration, facilitating smooth communications and seamless workflows between internal teams, external towing providers, auction partners, and various organizational contacts. If you thrive in fast-paced environments, possess exceptional attention to detail, and excel at managing multi-faceted administrative responsibilities, this Administrative Assistant opportunity in Surrey, BC is the ideal role for you!

As an Administrative Assistant specializing in business administration, your everyday responsibilities will span a wide array of administrative, financial, and logistical workflows. You will oversee the complete vehicle sales and disposition process, including drafting sales documentation, researching current market values, completing accurate vehicle appraisals and history reports, posting active inventory online, and organizing auction registrations and vehicle pickups. Furthermore, you will manage specialized donation-vehicle programs (such as the Kidney Foundation program, scrap tracking, and car-sales spreadsheets), process incoming payments, issue supporting documentation and cheques, and compile detailed weekly reporting packages. From monitoring auction lists (such as IAA and ICBC) to issuing electronic tracking tickets, generating gate passes, performing record reconciliations, and dispatching towing providers, your organizational mastery will keep operations moving efficiently.

Beyond vehicle sales logistics, the Administrative Assistant provides comprehensive office administration, audit coordination, and technology support. You will maintain optimal office efficiency by ordering supplies, managing incoming and outgoing mail and courier packages, coordinating bank deposit pickups, processing cheque backup requests, and shipping operational samples. You will also play a critical role in company compliance by pulling audit sample tickets, securing missing load images, collecting signed documentation, and preparing complete packages for review. Additionally, you will support technology coordination by assisting IT teams with ordering, imaging, maintaining, and replacing desktop and laptop hardware. Success as an Administrative Assistant in business administration relies on strong problem-solving abilities, excellent time management, and a high degree of comfort navigating spreadsheets, online databases, and document management platforms

Advantages
• Competitive pay rate of $30.00 per hour in a highly stable industry.
• Engaging full-time role offering diverse responsibilities across business administration, logistics, and office management.
• Opportunity to work with a collaborative team while building valuable expertise in supply chain, financial recordkeeping, and operational support.
• Dynamic work environment with consistent schedule stability and clear professional expectations.
• Full access to Randstad’s extensive network, career resources, and ongoing professional guidance.

Responsibilities
• Coordinate full vehicle sales and disposition processes, including market value research, appraisals, history reports, online postings, customer sales support, and auction registrations.
• Administer donation-vehicle programs, scrap tracking, and car-sales spreadsheets while accurately processing payments, preparing cheques, and filing weekly submissions.
• Manage IAA and ICBC auction list workflows, create tracking tickets, prepare gate passes, perform record reconciliations, and dispatch towing providers.
• Support audit and recordkeeping operations by selecting sample tickets, obtaining missing load images, securing signed documentation, and routing complete audit packages.
• Deliver general office administration support, including ordering office supplies, handling couriers and mail, scheduling bank deposit pickups, and shipping operational items.
• Assist IT departments with ordering, imaging, deploying, and maintaining replacement desktop and laptop equipment for office staff.

Qualifications
• Proven experience as an Administrative Assistant, Operations Coordinator, or in a similar business administration role.
• High school diploma required; post-secondary education or coursework in business administration or office management is preferred.
• Advanced proficiency with business software, document management tools, and spreadsheets, particularly Microsoft Excel (data entry, tracking, reconciliations).
• Demonstrated experience with financial administrative processes, payment processing, invoice tracking, or account reconciliations.
• Superior organizational, prioritization, and time-management skills with a track record of meeting daily and weekly administrative deadlines.
• Exceptional attention to detail in managing financial records, auditing paperwork, and tracking multi-step administrative processes.
• Strong written and verbal communication skills for effective coordination with internal teams, towing partners, and external auction vendors.
• Independent problem-solving ability to investigate missing information, resolve documentation discrepancies, and follow tasks through to completion.
• Ability to perform routine administrative physical tasks, including receiving shipments, organizing paper files, and handling operational samples.
