Job description

Office Administrator - Co-op Housing Community:
Working in property management is a secure, stable, challenging, and rewarding career for individuals who like to work hard, keep busy, and solve problems.
In collaboration with the Property Manager, the Administrative Coordinator
duties include:
  • Administering accounts payable processes, including invoice processing,
    cheque preparation and arrangement for signatures by signing officers, preparation of files for bookkeepers, and filing of records.
  • Administering accounts receivables, including rent collection and
    bank/EFT deposits.
  • Providing administrative support for the creation and tracking of the annual budget and the preparation of the annual audit.
Operations Support:Provide day-to-day office administration for rent geared to income calculations, resident services. Specific areas of responsibility include:
Office Administration:
  • Maintenance of office procedures and systems, including record administration.
  • Communication with residents, staff, external agencies,
    contractors and individuals.
  • Parking, locker and bike storage co-ordination
  • Administers security systems, including key-control system
  • Maintaining resident records.
  • Support resident selection and unit allocation process
  • Co-ordinating move-ins and move-outs.
Board of Directors Support:
  • Provides administrative assistance to Committees and the Board of Director.
Maintenance Administration:
  • Administers the work-order process.
  • Supports annual unit inspections by maintaining and updating records.
  • Liaises with contractors as required.
  • Administers inventory and purchasing of supplies as required.
Qualifications and Experience:
  • Related Diploma or Certificate preferred.
  • 2 -3 years’ experience in an office environment.
  • Demonstrated administrative and organizational skills.
  • Experience in a not-for-profit Co-op Housing Community highly desirable.
  • Demonstrated ability to maintain confidentiality.
  • Good working knowledge of Microsoft Office Suite, with sound
    proficiency in Excel.
Skills and Attributes:
  • Aptitude for quick learning, problem-solving, independence, and prioritizing.
  • Attention to detail.
  • Strong work ethic, friendly personality, positive attitude,
    and able to work independently.
  • Excellent business writing and effective verbal communication skills.
