Our clients dynamic and fast-paced organization is seeking a highly organized and proactive Executive Assistant to support their senior leadership team.

This is a key role within the team, providing high-level administrative and operational support to executives in a busy office environment.

The ideal candidate will be a self-starter, detail-oriented, and able to manage multiple priorities with professionalism and discretion.

Responsibilities

  • Provide comprehensive administrative support to senior executives, including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Prepare and organize documents, reports, and presentations for internal and external meetings.
  • Act as the primary point of contact between executives and internal / external stakeholders, demonstrating excellent communication and interpersonal skills.
  • Manage and prioritize incoming emails, calls, and inquiries, ensuring timely responses or appropriate action.
  • Organize and maintain files, databases, and confidential information, adhering to company policies and confidentiality standards.
  • Assist in the preparation and coordination of special projects and events, as needed.
  • Support the preparation of financial documents, including expense reports and budget tracking.
  • Collaborate with other administrative staff to ensure smooth day-to-day operations and office efficiency.
  • Handle other ad hoc tasks and responsibilities as required.

Qualifications

  • 5+ years of experience in an executive assistant or similar administrative role, preferably in a fast-paced, corporate environment.
  • Post-secondary education in Business Administration, Management, or a related field (preferred).
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Experience with calendar management, travel coordination, and event planning.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities with a keen attention to detail.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Discretion and professionalism in handling sensitive and confidential information.
  • Comfortable working in a high-energy environment with the ability to adapt to changing priorities.
