On behalf of our client in Burnaby, Ignite Technical Resources is seeking a Project Coordinator to join our team on a contract basis .

Purpose :

Drive operational excellence and strategic alignment within our client's Digital Business department through meticulous administrative support and project coordination.

Collaborate with senior stakeholders in the department to streamline budget management, HR administration, and departmental operations, ensuring optimal resource utilization and compliance.

Elevate efficiency of IT and Digital Solutions project delivery by facilitating clear communication and seamless execution, fostering a culture of continuous improvement and project success.

Responsibilities :

  • Work closely with Directors and Managers in Digital Business to assist them with :
  • Preparing monthly budget variance reports.
  • Completing new hire onboarding activities and check-in documentation.
  • Completing recurring administrative forms and information required by HR.
  • Reconciling invoices & invoice line items to purchase orders.
  • Resolving unpaid invoices.
  • Reviewing / approving expense reports.
  • Work closely with the VP of Digital Business to administer ongoing and recurring departmental processes, including :
  • Preparing monthly strategic progress reports.
  • Assisting with department workforce and compensation planning.
  • Performing preliminary review of software contracts.
  • Organizing the department’s SharePoint hub site content.
  • Reviewing / approving purchase quotes and purchase orders.
  • Assisting with VP workload management (meetings, emails, etc.).
  • Support the Digital Business PMO with Project Coordinator activities, including :
  • Assisting PMs with project instantiation, monitoring, reporting, and closeout activities.
  • Coordinating meetings with internal and external project stakeholders.
  • Preparing program status reports.
  • Coordinating business case creation and business case value realization.
  • Taking meeting minutes.
  • Presenting ideas for continuous improvement.

Qualifications, Attributes & Experience :

  • 2+ years’ experience in a management support or administrative role involving sensitive and confidential information.
  • A degree or diploma in Business or a related subject is an asset.
  • Highly skilled in using MS Office, particularly Excel, Word, and PowerPoint.
  • Experience modeling financial and HR data in Excel, Power Query and Power BI (or keenly willing to learn).
  • Proficiency working with common software tools such as Dynamics 365, SharePoint, Smartsheet, Jira, MS Planner, and Acrobat.
  • Experience with project delivery, execution, and use of project management methods.
  • Demonstrated ability to be organized, detail oriented and efficient.
  • Extremely passionate about learning new skills, tools, processes, and techniques - a dedicated hands-on lifelong learner.
  • Due to this role’s exposure to confidential information, the incumbent must be able to pass a security background check.
