As a Administrative Assistant for PCL Constructors Inc. in Edmonton, Alberta (Corporate), you will provide administrative and operational support to the Treasury team, including document preparation, meeting coordination, office administration, and share certificate processing. Here's how an Administrative Assistant for PCL Constructors Inc. within Edmonton NAHQ contributes to our team:

Responsibilities

  • Provides administrative support through the creation, maintenance, and organization of forms, templates, correspondence, reports, and tracking tools.
  • Coordinates meetings, events, and team activities, including scheduling, logistics, catering arrangements, and distribution of materials.
  • Manages incoming and outgoing mail, courier services, and document distribution.
  • Orders, maintains, and tracks office supplies and equipment to support operational needs.
  • Produces, edits, formats, and maintains a variety of business documents, spreadsheets, presentations, and records.
  • Maintains accurate records, databases, logs, and filing systems, ensuring information is current, organized, and accessible.
  • Supports financial and administrative processes by preparing documentation, maintaining records, and coordinating with internal and external stakeholders.
  • Handles confidential employee, organizational, and operational information with discretion, ensuring records are maintained and archived appropriately.
  • Builds and maintains positive relationships with internal and external customers, responding to inquiries and providing timely administrative support.
  • Demonstrates a customer-focused approach by supporting team objectives and contributing to process improvements.
  • Other duties as required.

Qualifications

  • High school diploma.
  • Post-secondary degree or diploma or certificate in related discipline.
  • 3 years of progressive experience in an office administration or related field.
  • Basic accounting and day-to-day banking transaction an asset but not required.
  • Excellent verbal and written communication skills.
  • Professional and service-oriented approach internally and externally.
  • Self-management skills to plan, organize and priority tasks with conflicting deadlines.
  • Ability to act with discretion when handling confidential and privileged information.
  • Ability to effectively handle difficult calls and situations.
  • Ability to remain calm under pressure.
  • Ability to create, edit, proofread and format documents.
  • Intermediate skills of Word, Excel and Adobe.
