À propos du poste

Relevant directement du directeur de pays, le coordonnateur du bureau est responsable de l'administration et de l'organisation globales des activités et des installations du bureau. Nous recherchons une personne professionnelle, dynamique, organisée et autonome capable de gérer avec succès les responsabilités suivantes :

  • Administration de toutes les itinéraires de voyage
  • De la planification et du respect des budgets aux réservations et au soutien au besoin.
  • Administration des dépenses SAP
  • Formez les utilisateurs sur la plateforme et offrez du soutien au besoin.
  • Révision et approbation des dépenses
  • Personne-ressource pour le département des finances aux États-Unis.
  • Soutenir les autres ministères dans les révisions des fournisseurs et des factures
  • Responsable de l'approvisionnement en fournitures de bureau et autres achats
  • Gestion de l'aire d'accueil et des tâches administratives connexes
  • Soutien à la planification, à l'organisation et à la préparation d'initiatives de bureau et à l'organisation d'événements spéciaux.
  • Aider le directeur de pays dans toutes les activités au besoin

À propos du profil idéal

  • Bilingue en anglais et en français (écrit et parlé)
  • La connaissance de l'espagnol sera considérée comme un atout
  • Posséder un bon sens de l'organisation et de la débrouillardise
  • À l'aise dans un environnement dynamique (capacité à travailler sous pression)
  • Posséder des compétences informatiques (Excel, Word, Outlook, etc.)
  • Expérience dans le travail de bureau ou dans un poste similaire (atout)
  • Ce rôle nécessite une présence physique à notre siège social du centre-ville de Montréal.

    About the Position

    Reporting directly to the Country Director, the Office Coordinator is responsible of the overall administration and organization of the office activities and facilities. We are seeking for a professional, dynamic, organized and autonomous individual who can successfully manage the following responsibilities :

  • Administration of all Travelling activities
  • From planning and respecting budgets, to bookings and providing support when needed.
  • SAP Expense Administration
  • Train users on the platform and offer support when needed.
  • Revision and approval of expenses
  • Contact person for the Finance department in the US.
  • Support other departments with supplier and invoice revisions
  • Responsible of procuring office supplies and other purchases
  • Management of the reception area and related administrative tasks
  • Support in the planning, organization and preparation of office initiatives, and hosting special events.
  • Assist the Country Director in all activities as needed
  • About the Ideal Profile

  • Bilingual in English and French (both written and spoken)
  • Knowledge of Spanish will be considered an asset
  • Possess good organizational skills and resourcefulness
  • Comfortable in a dynamic environment (ability to work under pressure)
  • Possess computer skills (Excel, Word, Outlook etc.)
  • Experience in office work or in a similar position (asset)
  • This role requires physical presence at our Montreal Downtown Head Office.
