Job description

High Level Description

Primarily responsible for assisting the Workplace Services Supervisor as required in Enbridge’s office locations. This position is focused on helping design and executing Workplace Services process, procedures and collaborating with our Real Estate and Workplace Services team.
This position requires to application of good judgement and critical thought to issues outside of routine tasks.


Specific Accountabilities

Responsible for providing service that supports business, employees and departmental needs and initiatives while maintaining a safe, healthy, functional workplace.

Responsible for all Workplace Service financial accounting activities include: invoice coding, journal transfers, accruals, accounts receivables submissions

Vendor management for building service amenities including Mail Courier, Food/Catering Services, Distributed Print and Central Reproduction Services

Monitor and manage Service Now queue for Real Estate and Workplace Services ticket requests

Coordinate, communicate and plan execution of employee moves including weekly, restack and group moves Coordinate facilitation and operation of all meeting rooms including dynamic work areas. Assist in coordination of space requirements for special project team assignments.

Manage and maintain artwork inventory; source, purchase, placement and asst management.

Participate in various projects such as Environment Health & Safety initiatives, sustainability programs or other facility related projects
Provide support during emergency response (i.e. electrical, security and life, fire and safety) incidents.

Responsible for communications delivered to clients related to Real Estate and Workplace Services. Assist with reviewing & editing contents and determining appropriate audience and timing for Real Estate & Work Place Services News distribution.

General administration posting regulatory licences, manage documentation through various sources (Elink, Sharepoint)
Support, train and provide direction for E-zone concierge staff.

Perform other duties as assigned by Leadership but not limited to supporting other facilities, execution of Ergonomic assessments and coordinate floor decommissions and preparations as required


Scope/Dimensions

Assist and learn from the Workplace Services team supporting all of Enbridge’s locations.

Balance multiple priorities while ensuring excellent customer service.
Safety critical role - conducts activities and makes decisions that directly impact the safety of others including clients and maintenance contractors or employees


Contacts (Working Relationships)

External service providers – managing vendor services for as specified.
In collaboration with Supervisor Workplace Service and Real Estate and Workplace Services team, collaborate with other Corporate Services teams (TIS, SCM, etc.) and Enbridge teams (Security, Legal, Executive Leadership Team, and Health and Safety) to execute Enbridge strategy
All leaders, employees and contractors in the office environment


Knowledge, Skills and Abilities

Required:

Related university degree or technical diploma with limited experience OR a combination of related certification and a minimum of five years directly related experience.

Minimum of 5 years of experience in an applicable business related environment, with at least one year of facility or property management practice

Strong relationship and interpersonal Skills, Adaptability and Flexibility, Customer Service

Must have the ability to maintain a high level of confidentiality and independent work

Strong interpersonal written and verbal communication skills are required.

Demonstrated ability to think critically and apply knowledge to resolve issues

Proficiency to advance knowledge of Microsoft Office Suite (Word and Excel)

Preferred:

Office Management or facilities management experience considered an asset

Certification in one of the following: RPA, FMA, PMP or CPM would be a definite asset

Oracle Financial experience would be an asset

Typical office environment

Fast paced office environment with multiple, concurrent activities and projects.
