Job description

Are you a polished professional looking for a stable, long-term contract within the prestigious world of Wealth Management?

We are seeking a reliable and detail-oriented Administrative Assistant with 2-4 years of experience in administrative roles. You will bridge the gap between high-touch client service and essential back-office operations. This is more than a reception role; you will balance reception duties with essential back-office operational support.

This role is ideal for someone who thrives in a low-maintenance, structured environment and enjoys providing top-tier service to both internal colleagues and external clients; it is an opportunity to join a sophisticated, 35-member team where your organizational skills directly impact the success of our leadership and the satisfaction of our high-net-worth clients.

Schedule : Monday – Friday -9-5 Onsite

Location : Whitby, ON (100% Onsite)

Duration : April 2026 – October 2027 (18 Months)

Interview Process : 1-round onsite panel interview.

Responsibilities

  • Manage scheduled arrivals and inquiries with professionalism, ensuring every client feels welcomed and valued.
  • Support the financial backbone of the office by processing check deposits, preparing sensitive documentation, and managing professional correspondence.
  • Take the lead on meeting logistics, facility booking, and catering to keep our large team moving efficiently.
  • Maintain the highest standards of confidentiality while managing reports, invoices, and expense files.
  • Qualifications

  • You have 2–4 years of experience in a professional office environment (Financial or Banking experience is a major asset).
  • You are proficient with Microsoft Office (Word, Excel, PowerPoint).
  • You thrive in structured environments and take pride in being highly reliable and detail oriented.
  • You possess the verbal and written communication skills necessary to interact with high-profile clients and senior leadership.
  • High School Diploma or GED required.
  • Strong organizational and multi-tasking abilities.to pivot priorities in a fast-paced environment.
  • 2-4 years of experience in administrative roles.
