The Mullings Group Search Canada is in search of an organized, reliable, and hands-on Executive / Personal Assistant (‘EA / PA’) to support the varying needs of a predominant business owner and entrepreneur. The EA / PA will be responsible for a wide range of administrative and bookkeeping duties, as well as providing varied support across several businesses and personal properties. Our client is seeking a flexible and adaptable professional with strong organizational and multitasking abilities, capable of navigating changing priorities with ease.
Responsibilities
Scheduling and Calendar Management
- Manages and coordinates calendars to ensure the efficient and effective use of time, aligning with preferences, priorities, and personal and business strategies.
- Maintains and manages contact lists and key contact information, ensuring easy access and efficient communication.
Document Creation and Organization
Provides a full-range executive and administrative support services, including drafting communications (e.g., memos, letters, reports), preparing presentations, and maintaining confidential information.Manages the document control system, including creating new electronic files / folders, as well as developing, maintaining, and utilizing an orderly filing and retrieval system to ensure ease of reference to historical physical or electronic records.Reviews current practices and suggests improvements to processes, communications, and management systems to enhance efficiency.Organizes, orders supplies (office and cleaning) and conducts light cleaning / disinfecting in the offices / properties.Meeting and Event Coordination
Helps organize and execute special events, working closely with staff and other stakeholders to ensure successful planning and flawless execution.Travel Management
Works alongside the corporate flight operations team to coordinate domestic and international travel planning, as well as event planning (ticket bookings).Technology and IT Support
Collaborates with IT to ensure all technology requirements are met and to proactively address any technical challenges.Vendor and Service Coordination
Coordinates and oversees contracted personal vendor services, including trades workers, contractors, and banking / accounting / legal professionals.Initiates the setup process for vendors, compares and verifies vendor invoices against purchase orders, obtains authorization and processes payments.Accounting, Legal & Professional Support Services
Manages cash transactions, prepares bank deposit slips, and evaluates bank accounts to ensure tax compliance. Oversees tax preparation, filing, and compliance for corporate, personal, and payroll taxes by coordinating, reviewing, and submitting required documents with accuracy and adherence to deadlinesHandles accounting responsibilities, including general ledger maintenance, preparation of financial reports, and monitoring cash flow to support informed decision-making.Coordinates the processing of payroll for salaried, hourly and contract employees (where applicable) and distributes cheques accordingly.Maintains detailed records of all transactions, ensuring that all entries are up-to-date and accurate.Reconciles credit card statements on monthly basis, following up with credit card holders for backups and flag any exceptions.Ensures compliance with statutory / regulatory bodies and maintains necessary registrations, renewals, reporting and filing requirements.Oversees the maintenance of corporate records and minute books and supports the preparation of annual documents for filing.Relationship Management & Personal Support
Facilitates communication and relationship-building by acting as a liaison between key stakeholders.Runs personal errands and manages personal tasks as needed, providing day to day varied support to the Owner.Qualifications
A minimum of five (5) years of experience in an Executive Assistant, Personal Assistant, Administrative Assistant (with a focus on bookkeeping, tax and legal compliance).Experience in a Hospitality Management role, or other related roles with transferable skills is considered an asset.Post-secondary education in administration, bookkeeping, hospitality or related field is an asset.A valid class 5 driver’s license, clean drivers abstract, and operational vehicle are required.A valid Canadian passport with the ability to travel both domestically and internationally, on an as required basis.Ability to maintain privacy and confidentiality at all times, exercise diplomacy, discretion and respect boundaries.Highly competent in software applications, specifically Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook and Apple products.Highly organized with excellent time management skills with the ability to set, commit to and meet deadlines.Service-oriented, proactive, self-starter with an excellent attention to detail.Strong written and verbal communication skills, combined with solid interpersonal abilities, enable effective collaboration in diverse work environments and seamless engagement with executives, staff, and external stakeholders at all levels.Ability to work under pressure and adapt to changing Executive and business needs.Flexibility required with schedule availability for evenings, weekends, holidays, and additional hours.For more information : https : / / briefs.mullingsgroup.com / position / confidential-canada-ea-1 /
