Program Assistant (Temporary Assignment)

Duration: 8 Weeks (Potential for Extension)
Schedule: Monday to Friday, 8:30 AM to 4:30 PM (35 hours/week)
Location: On-site
Pay Rate: $33.61/per hour

About the Role

Our client is seeking a detail-oriented and professional Program Assistant to provide administrative and customer service support within a busy public sector environment. This role serves as a key point of contact for internal staff and external stakeholders while ensuring accurate data management, confidential record keeping, and exceptional customer service.

The ideal candidate is highly organized, comfortable working with databases and Microsoft Office applications, and able to manage sensitive information with discretion and professionalism.

Key Responsibilities

  • Serve as the first point of contact for inquiries from staff and the public
  • Retrieve, listen to, and accurately transcribe voicemail messages into an online database system
  • Contact individuals to verify and confirm information as required
  • Enter, maintain, and update records within electronic databases
  • Prepare, format, and proofread documents, reports, correspondence, and presentations
  • Maintain electronic and paper records in accordance with confidentiality standards
  • Respond to inquiries and direct requests appropriately
  • Assist with meeting coordination, scheduling, minute taking, and administrative support activities
  • Support general office operations, including filing, mail distribution, and supply management
  • Contribute to a positive team environment while managing multiple priorities and deadlines

Qualifications

  • Diploma in Business Administration, Office Administration, Accounting, Secretarial Studies, or a related field
  • Minimum 2 to 3 years of administrative, clerical, or program support experience
  • Experience within a municipality, county, township, school board, healthcare, or public sector environment is considered a strong asset
  • Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Experience working with databases and data entry systems
  • Excellent listening, transcription, and information-verification skills
  • Strong written and verbal communication skills
  • Ability to handle confidential and sensitive information with professionalism and discretion
