The Opportunity
Reporting to the Credentialing Officer, the Credentialing Assistant provides operational support to the IWK Medical, Dental, Affiliated and Scientific Staff office.
This position is responsible to provide support to the Credentialing Officer for the following tasks (including but not limited to) :
- Maintains the credentialing database (CMARS) of all physician records and changes
- Enters data into the Physician’s database, processes new applications for privilege status, update database as new appointments, re-appointments, resignations, retirements are processed
- Notify various parties of changes as applicable
- Draft letters for Vice President, Medicine’s approval once documentation for granting of privileges is verified by Credentialing Officer
- Establish and maintain a bring forward system to ensure all privilege end dates are captured and that the appropriate reports and forms are run
- Generate various monthly and adhoc reports as required (i.e. post retirement appointments, reappointment forms, staff updates)
- Maintains roster and personnel files of all medical, dental and affiliated / scientific staff and maintains centre-wide information on postgraduate trainees
- Provides administrative support to the IWK Medical, Dental, Affiliated and Scientific Staff credentialing process, schedules meetings.
- Sends out credentialing applications, obtains necessary signatures, prepares letters.
- Coordinates the on boarding process of new medical, dental, affiliated, and scientific staff and reviews terms and conditions, ensures that the necessary paperwork is completed by medical, dental and scientific staff and that all required documents have been submitted before the applicant is given hospital privileges.
ie; Criminal Record Check, licenses, certifications etc.)
- Notify appropriate areas (i.e. Pharmacy, OR, Birth Unit, Health Records, Protection Services) and preparing letters for CEO / VP of Medicine for signature;
- Generate monthly report to the Board for all new applications and annual reappointments
- Maintain and update privileges, prepare and circulate annual directory, serves as primary point of contact, responding to general requests, or referring calls to others as appropriate.
Hours of Work
Monday - Friday, schedule to be determined by the manager.
Your Qualifications
- Completion of High School Diploma or GED required.
- Completion of Community College diploma required.
- Minimum three (3) years of related administrative experience required. Administrative experience in a health care environment preferred.
- One (1) year experience in credentialing or a similar setting required.
- Database management skills and Computer literacy, to include knowledge of MS Office : Word, Excel, PowerPoint and Outlook, web based technologies and computer keyboarding are required.
- Demonstrated excellent interpersonal and communication (verbal & written) skills required.
- Demonstrated initiative, self-motivation, and ability to work independently with minimal supervision required.
- Demonstrated time management, organizational, and problem-solving skills required.
- High regard for quality, attention to detail, and flexibility to meet workload demands required.
- Ability to recognize, handle and protect highly sensitive and confidential information.
- Ability to understand and mange situations utilizing emotional intelligence.
- Demonstrates appropriate judgement and critical thinking.
- Ability to adapt to change and work efficiently fast-paced environment.
