The Role

BGC is looking for a highly motived and organized Project Administrator to join our team. The ideal candidate would be a self-starter who values teamwork, takes initiative, and takes pride in their work.

In this you will provide support to Project and Office Managers pertaining to project logistics, coordination, and reporting, and general administrative duties when needed.

You will work alongside BGC team members and collaborate with your fellow Admin staff. You will be working in a fast paced, dynamic office environment alongside our Admin Team, Engineers, Geoscientists, and other teams within BGC.

You will gain valuable industry experience working at a multinational geotechnical engineering firm, while practicing our core values of One Team, Excellence, Curiosity, Common Sense, and Clarity.

This position can be based in any one of our western Canadian office locations (Victoria, Vancouver, Kamloops, Kelowna, Calgary, or Edmonton).

Responsibilities

  • Logistics planning for field crews including resource tracking and booking travel
  • Administration and communication of various project team calendars (project milestones, project review and deliverables, team vacations, field schedule, travel, etc.)
  • Schedule meetings, take meeting minutes, communicate and track action items
  • Understand and implement client-specific requirements to maintain quality of project deliverables
  • Assist project accountants and project managers with invoices and budget tracking
  • Assist with document control and formatting as required
  • Housekeeping of project team SharePoint and filing systems and Teams channel
  • Preparation of letters, presentation templates, workshop planning support, as required
  • Assisting with onboarding of new team members including regular check-ins
  • Recognize needs of the project team and be proactive in offering solutions, assist with change management
  • Be flexible with work hours during BGCs busy field season to accommodate project location time zones, and occasional after-hours support, as required
  • Willingness to take on a variety of administrative and project tasks as requested, for example field data entry, compiling data for appendices, etc.

Required Education, Experience & Competencies

  • 5+ years of related experience , providing administrative support in a project setting or similar role
  • A self-motivated, accountable individual with strong time management, organization and prioritization skills
  • Strong attention to detail, ability to multi-task and meet deadlines
  • Have a common-sense approach and sound critical thinking skills
  • Ability to convey information professionally and effectively both verbally and nonverbally.
  • Proficient user of MS Office suite with emphasis on Word and Excel and comfortable learning new technology and software.
  • Spanish fluency is an asset
  • Experience on engineering or construction projects is an asset.

The estimated base salary range for this position is $50,000 - $70,000 CAD per annum, however base pay will be commensurate with job-related knowledge, skills, and experience.

BGC's compensation package also includes a training allowance and a comprehensive medical and dental plan.
