Job description

Our client, a legal firm located in downtown Montreal, is looking for an experienced and bilingual administrative assistant to provide administrative support to two associates in the tax division .

This role is permanent and to be filled as soon as possible.

The successful candidate stands out for their rigor and sense of organization and priorities which allow them to manage several files simultaneously. Versatile and with great attention to detail, she enjoys working in a team and contributing significantly to the success of the office and the team.

    Responsibilities

  • Plan weekly meetings of the tax group and manage the practice group’s calendar and email inbox;
  • Administer invoicing, accounts receivable, expense accounts and trust accounts;
  • Perform file openings;
  • Maintain continuing education files up to date;
  • Collaborate in maintaining and updating the annual budget of the tax group and carry out appropriate follow-ups;
  • Support the preparation of legal and administrative documents (Agreements, tax memoranda, trusts, tax forms, service offers);
  • Correspond with clients of the practice group and rigorously ensure all follow-ups on calls and voice messages;
  • Register team members for various seminars, webinars and manage annual general registrations for the practice group;
  • Any other related administrative assistance.

    Qualifications

  • Have appropriate training for the position OR relevant work experience;
  • Have an excellent command of French and English, both oral and written;
  • Have a good command of the Office Suite (Outlook, Word, Excel);
  • Have skills developed for teamwork;
  • Have an ability to work with tight and last minute deadlines.
