Office and Event Administrator
Job Overview
The Komatsu Underground Hard Rock Leadership Team is looking to hire an Office and Event Administrator at their Sudbury, Ontario location.
The ideal candidate will be a key participant with the Leadership Team to support daily administration as well as confidential projects, communication and internal, external event initiatives with our marketing, technical training and commercial teams.
This position requires a trust worthy candidate who has high attention to detail, self initiative, time management and organization skills to manage multiple tasks on a daily basis with many different business priorities.
This position will be a main point of contact throughout the organization and be highly independent with strong communication skills.
The ideal candidate will have an interest in marketing and event planning in consideration of future career development.
Key Job Responsibilities
- Manage all general office functions related to employee setup and supply including office furniture, layout, office supplies.
- Work with corporate communications and marketing and company branding initiatives, marketing events and internal and external communications.
- Support leadership team members with meeting arrangements, meeting minutes, proofreading executive documentation, creation of presentations and project organization.
- Support leadership team members with travel arrangements including site guest arrangements.
- Manage general EHS administration and training setup responsibilities for guests and employees to ensure documentation is processed and posted as required.
- Handles confidential information regularly with participation in leadership meetings or events.
- Leads and / or participates in confidential business projects supporting the hard rock business functional areas as assigned.
- Manage general administration functions related to overall site needs including fleet vehicle program and office administration processes.
Qualifications / Requirements
- Bachelor’s degree or Diploma in Business Administration or similar with five or more years of project based and administrative work experience with increasing responsibility.
- Ability to work in a matrix organization with competing priorities.
- Advance working knowledge of a variety of computer software applications (Microsoft Office).
- Prior project management experience with tracking schedules, budgets, accountabilities is required.
- Excellent organizational and time management skills.
- Exceptional attention to detail in composing and proofing materials.
- Flexible to consistent change.
- Ability to work in a fast-paced environment.
- Self-motivated, self-directed with ability to work independently.
- Communicates well both verbally and in writing with strong English language proficiency, shares information and ideas with others and demonstrates good listening skills.
- Ability to work with confidential information and maintain confidentiality at all times.
- Ability to travel to multiple sites and company events.
- Authorized to work in Canada.
