Responsibilities
- Work closely with all project team members, such as Program Director(s), Portfolio Manager(s), and Project Manager(s) to provide support for multiple projects.
- Responsible for preparing high-quality project artifacts and related presentations (e.g., Project Charters, business cases, briefing notes, monthly reports, etc.).
- Assist with project administration deliverables (e.g., budget tracking, schedule updates, project closeout documentation, etc.).
- Participating in a variety of meetings by scheduling, drafting agendas, gathering background documents, attending and recording proceedings, preparing and distributing minutes and tracking follow-up action items.
- Drive collaboration and communication necessary to ensure delivery success, including successful management of risk and dependencies.
Qualifications
- 5+ years’ experience working as a project / program coordinator.
- Previous experience with complex projects.
- Strong written and verbal communication skills including the ability to produce concise, structured and well written documents and reports.
- Demonstrated ability to use spreadsheets, word-processing, PowerPoint and other software at an intermediate level.
- Experience with SharePoint, Confluence and JIRA.
- Highly adaptable and able to work in a fast-paced priority driven environment.
- Experience balancing competing priorities and deliverables.
- Exceptional level of professionalism; personable, approachable and courteous.
- Excellent time management, prioritization and organizational skills.
- Strong attention to detail including awareness of downstream effects of actions.
- Ability to work independently to meet deliverables and solve problems.
- Self-starter, proactive and solutions oriented.
- Ability to adapt to change and tolerate high stress levels.
- Experience working within the Health Authorities or the Ministry of Health is preferred.
