Under the direction and mentorship of the Workplace Experience Manager, the Workplace Security & Operations Specialist will be responsible for coordinating the day-to-day facility operations of the building and associated programs.

The Workplace Specialist will be highly customer service oriented, experienced in coordinating maintenance work, event management support, small projects, vendor management, compliance, and be an advocate for health and safety.

The Workplace Security & Operations Specialist is required to be on call 24 / 7 in case of emergency.Required to be on-site at The Well in Toronto as well as our Mississauga Office Location

Essential Duties and Responsibilities

  • Conduct various facility walkthroughs & audits (safety, tidiness, cleanliness, security, furniture, etc.) within the maintenance program schedule ensuring premises are maintained to PCC’s standards.
  • Inspects and troubleshoots facilities and equipment issues.
  • Support PointClickCare’s remote offices with onsite visits, performing facility walkthroughs (safety, cleanliness, security, furniture, etc.

ensuring everything is working to PCC’s standards and report all deficiencies to the Workplace Experience Manager.

Work closely with Physical Security Manager to facilitate access control issuance and administration of employee, vendor, and visitor access.

assigning access rights, badge creation, decommissioning of access, etc.

  • Be the PointClickCare onsite representative for all Canadian remote offices for any external vendors performing work onsite.
  • Support the Workplace Experience Coordinator with monitoring of Workplace Experience ticket requests, responsible that service SLA’s are met.
  • Manage ServiceNow ticketing program to support and resolve all escalation issues within the prescribed timeline.
  • Prepare various transactional report metrics using Microsoft Excel daily, monthly, annual, and as requested.
  • Responds to and / or report various emergencies including but not limited to medical, fire, building power, intrusion alarm, temperature alarms.
  • Proactively contribute to the facilities disaster recovery plan and participate in all related matters as required.
  • Provide advice, information, and support to the Workplace Experience Manager regarding facilities related issues.
  • Manage the monitoring of community boards, making sure all content is up-to-date and compliant.
  • Develop and maintain strong working relationship with Building Operations, Security, and Management ensuring building related service requests are carried out in a timely manner.
  • Works closely with building Security and Property Management to ensure fluent communication related to incidents that may have a direct impact on the company.
  • Oversee onsite facilities related service contractors and ensure all vendor related activities are carried out as
  • per agreement.
  • Work with Workplace Experience Manager & specialty vendors to schedule quarterly maintenance service calls.
  • Work with Workplace Experience Manager to solicit and execute new or renewal maintenance service agreements.
  • Work with Workplace Experience Manager to resolve emergency issues such as power, HVAC, etc.
  • Support with incoming shipments and deliveries (booking elevators, vendor supervision, communication, etc.)
  • Support and coordinate interoffice moves and relocations.
  • Assist Workplace Experience Manager and internal clients to effectively deliver special event services.
  • Assist with special events and work with Workplace Experience Event Associate to deliver specialized set-ups for special meetings and events.
  • Support with moves, arrange, and / or remove furniture for events and meeting room set-ups.
  • Work with Workplace Experience team to deliver monthly service KPI reports.
  • Provide customer service to both internal and external stakeholders regarding Facilities-related inquiries.
  • Ensure compliance with building codes, health, and safety standards, etc.
  • Hands on effort to complete projects and daily tasks.
  • Working knowledge of building systems, HVAC, electrical, etc.
  • Working knowledge of commercial kitchen equipment and maintenance
  • In-depth knowledge of LEED certifications and requirements to uphold standards.
  • Available, on call, 24 / 7 in case of emergency

Education

Preferred : Post-Secondary Education in a related field, Auto Cad, FM software experience

Experience

  • Minimum of 4 years of relevant experience in a Workplace Experience role and post-secondary education in a related field
  • Self-starter, willing to learn, able to work independently.
  • Ability to prioritize with workload and manage various programs.
  • Demonstrated ability to design content and assist in delivering training to staff and users of required in areas of responsibility
  • Demonstrated facilities management experience at a mid-level in a large business including experience in coordinating facilities operations.
  • Superior decision making capacity
  • Excellent written, verbal, and interpersonal communications
  • Proven experience in conflict resolution
  • Demonstrated commitment to superior customer service excellence with a solution-oriented focus and the ability to work as part of a team.
  • Confident working with various Microsoft suite programs with a strong emphasis on Microsoft Excel
  • Physical Security related experience is considered an asset.
  • AutoCAD experience is considered an asset.

$79,000 - $89,000 a yearAt PointClickCare, base salary is one of the many components that make up our total rewards package.

The Canada base salary range for this position is $79,000 - $89,000 + bonus or commission + equity + benefits. Our salary ranges are determined by job and level.

The range displayed on each job posting reflects the target for new hire salaries for the position across all Canada locations.

Within the range, individual compensation is determined by job-related skills and knowledge, relevant experience including professional and lived experience, and / or work location.
