Quantum Management Services has a great opportunity for a pro-active and highly efficient Administrative Assistant with their Global Investment client Downtown.
Responsibilities :
- Provide extensive administrative support to a team of finance and investment professionals.
- Efficiently manage travel arrangements including flights, accommodations, and transportation for team members traveling internationally.
- Coordinate and maintain multiple calendars for executives, scheduling meetings, conference calls, and appointments while prioritizing and optimizing time management.
- Spearhead the planning and execution of team events.
- Collaborate closely with external partners, vendors, and assistants to facilitate the scheduling of meetings and events across diverse global locations.
- Collaborate with executive assistants and cross-functional departments to enhance operational efficiency and departmental support.
- Handle expense reconciliations, inputting data accurately into the expense management system.
- Assist team members in meeting preparation, providing documents, agendas, and briefing materials to ensure meetings run smoothly.
- Safeguard highly sensitive and confidential information concerning daily departmental activities.
Requirements :
- Bachelor's degree preferred, or equivalent relevant experience.
- Proven track record in administrative support roles, ideally within a finance or investment environment.
- Strong organizational and multitasking abilities, proficiently managing complex tasks with efficiency and accuracy.
- Proficiency in calendar management, travel coordination, and expense reconciliation.
- Demonstrated ability to handle sensitive information discreetly and maintain confidentiality.
- Adaptability to thrive in a fast-paced environment and accommodate shifting priorities.
- Proficiency in Microsoft Office Suite and other relevant software applications.
