Job description

What you'll do

Responsibilities

Reporting to the Campus Engagement Lead for Sydney Waterfront Campus, with functional guidance from the Director of Campus Services, you will:

  • Provide administrative support for the planning and delivery of campus events and activities within the Sydney Waterfront Campus, supporting the Campus management team.
  • Support the coordination of college-wide signature events such as Orientation, Open House, and Convocation, ensuring they meet institutional standards.
  • Support campus management in the implementation of strategies that maximize facility resources for revenue generation including but not limited to space rentals, conferences, workforce development and summer camps.
  • Manage or support event logistics, coordinate event communications, support event documentation, and liaise with internal department and external partners.
  • Ensure compliance with College policies, track event activity and revenue, and contribute to the promotion of campus services.
  • Support communications through promotion with College and campus communications and media. Create content for the campus intranet (Connect)/campus events as required by updating campus communication channels (Facebook page, Connect page etc.) and digital signage.
  • Act as the on-site coordinator for events and as such, it is expected that you will be on-site to support events as required.

This role requires flexibility for evening and weekend hours. As a result, regular working days and hours may adjust based on scheduled events.

What you'll need

Qualifications

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a College certificate or diploma in a related field such as Event Management, Public Relations, Community Development, Administrative Professional/Office Administration, Business or Tourism.

  • Certification in Certified Meeting Professional (CMP), Certified Special Events Professional (CSEP), and/or Certified Professional in Catering and Events (CPCE) would be considered an asset.

  • You have a minimum of three (3) years (full time equivalent) of recent and related occupational experience in event coordination, event bookings and rental agreement preparations. With specific experience in working with internal and external clients and collaborating with organizational departments.

  • You have financial experience such as processing DPO's and coordinating activities which result in financial commitments, obligations or costs. You have some previous responsibility for handling contracts and/or purchase orders.

  • Experience with event management software would be considered an asset.
