We are seeking a proactive and organized Office Administrator to provide administrative and operational support to our client across three dynamic business units. This permanent , full-time role is based in Halifax and is ideal for someone who thrives in a fast-paced, multi-tasking environment and enjoys contributing to the smooth operation of a diverse workplace.
Key Responsibilities for the Job :
- Serve as receptionist; answering and redirecting phone calls, emails, and visitors, and control office access to maintain security
- Manage incoming and outgoing mail, office supplies, and equipment
- Assist with invoicing, tracking payments, and collections to support company cash flow
- Maintain accurate records, spreadsheets, and documentation across all units, including scanning and filing as needed
- Schedule service appointments for technicians, track service calls, confirm details with customers, and manage technician workloads
- Manage client information, conduct satisfaction audits, and support customer communications
- Prepare and maintain safety binders, office safety manuals, and vehicle safety documentation
- Support preparation for audits, including annual COR Safety Certification, by compiling and organizing required documentation
- Create, schedule, and manage social media content to enhance brand presence and engagement
