The position combines administrative responsibilities with active site engagement, including unit inspections, contractor coordination, and rental operations. This role is critical to maintaining service standards and supporting client retention.

About the Role
In this role, you will play a key part in supporting our expanding residential operations. You will manage the administrative functions that keep our properties running efficiently, while contributing to a team that is focused on consistency, service, and operational excellence.
Key Responsibilities
- Oversee day-to-day administrative operations for assigned residential properties
- Act as a primary point of contact for tenants and owners
- Coordinate and manage tenant move-ins and move-outs, including inspections, key handover, Yardi updates, and turnover readiness
- Conduct unit inspections during turnovers; document conditions and coordinate required repairs or maintenance with contractors
- Monitor unit readiness, contractor progress, and vacancy timelines
- Coordinate and follow up with contractors
- Support rent collection processes, including tracking, follow-ups, and maintaining accurate records of outstanding balances
- Maintain accurate and up-to-date records across tenant files, leasing activity, inspections, and communications
- Partner with Client Accounting and Property Managers to support month-end processes
- Prepare and provide regular reporting (weekly operational updates and monthly summaries) to management
- Conduct regular site walkthroughs (“rounds”)
- Provide support across residential and commercial portfolios, with occasional assistance to condo teams (, AGMs, budgets, meeting documentation)
Leasing Responsibilities:
- Coordinate and manage the full leasing cycle, including advertising vacancies, scheduling and conducting showings
- Respond to rental inquiries
- Screen prospective tenants (applications, references, credit checks) in line with requirements
- Prepare lease agreements and supporting documentation,
- Facilitate move-ins and move-outs, including key handover, orientation, and required inspections
- Maintain accurate leasing records and update systems with tenant information and status changes
- Monitor market trends and provide input on rental pricing and leasing strategies
- Support occupancy targets by minimizing vacancy periods and maintaining strong tenant relations
Education
- Diploma or degree in Business Administration, Sales, Marketing, Management, or a related field
Experience
- – years of experience in residential/commercial property administration, ideally within mixed-use portfolios
- Experience in a client-focused, third-party management environment
- At least year in a senior or lead administrative capacity
- Proven ability to work independently while collaborating across departments
- Experience supporting team performance and coordinating workflows across different stakeholders
Skills & Competencies
- Proficiency in Yardi and Microsoft Office (Outlook, Word, Excel)
- Strong organizational and time management skills
- Clear, professional communication with a customer-focused approach

- Ability to prioritize and manage competing demands

- Knowledge of the Residential Tenancies Act and property management best practices
