Job description

Operating within the specialized air filtration and HVAC manufacturing industry means supporting high-demand technical products and critical infrastructure projects across Western Canada. As a customer service / administrative assistant, you will manage diverse operational workflows ranging from front-line client communication and account maintenance to order processing, returns management, credit card payment handling, and shipping logistics coordination. Working side-by-side with the Warehouse Lead and the broader Canadian customer service team, your daily contributions within manufacturing & logistics will directly optimize order fulfillment accuracy, minimize delivery bottlenecks, and strengthen our client's standing as an industry leader.

The manufacturing & logistics sector offers exceptional career stability and robust professional development paths. In this Coquitlam-based customer service / administrative assistant role, you will leverage your technical aptitude using enterprise resource planning software—such as SAP or similar ERP platforms—alongside the Microsoft Office Suite to track shipments, generate critical regional open demand reports, and maintain pristine customer files. Responsibilities
• Respond to customer inquiries in a timely, professional fashion via phone, email, and live chat channels
• Maintain accurate customer records and update account profiles seamlessly within the internal database
• Process orders, returns, exchanges, and warranty refunds with high precision to ensure operational efficiency
• Process credit card payments securely and reconcile financial transactions according to company standards
• Generate the Western Canada open demand report to keep internal teams informed of regional inventory and order statuses
• Correspond proactively with the Warehouse Lead to support daily manufacturing & logistics activities and streamline supply chain workflows
• Assist the Warehouse Lead with order flow and delivery logistics, including preparing paperwork and shipping labels
• Collaborate closely with the Canadian customer service team to manage open demand backlogs and resolve customer pain points

Qualifications
• Minimum of 2 to 3 years of proven experience in an administrative assistant or customer service role
• Demonstrated proficiency using the Microsoft Office Suite, particularly Excel, Word, and Outlook
• Prior hands-on experience working with enterprise resource planning (ERP) software systems, with SAP experience considered a strong asset
• Exceptional verbal and written communication skills enabling clear, professional stakeholder engagement
• Strong organizational capabilities with the proven ability to manage multiple competing priorities and meet strict deadlines in a fast-paced environment
• High attention to detail and rigorous accuracy when handling customer records, financial transactions, and shipping documents
• Advanced problem-solving abilities to quickly diagnose and resolve customer issues or supply chain discrepancies
• Strong interpersonal skills and a collaborative team-player mindset focused on cross-functional success within manufacturing & logistics
• Proactive willingness to learn new technologies, manufacturing processes, and internal company protocols
• Legal authorization to work in Canada and reliable daily commuting access to the Coquitlam, BC location
