The Faculty of Graduate Studies directs the administration of more than 140 graduate programs across all three campuses and eight faculties. Our office supports the vision and leadership of the university through the Dean and Vice-Provost's role as well as through oversight and guidance of graduate admissions, adherence and equitable compliance to graduate policies, and administrative direction and training for procedures and systems. We also collaboratively facilitate support for graduate students, faculty members and graduate programs with individual and systemic issues and foster graduate student engagement and professional development activities.

About the Role

The Executive Assistant provides confidential, senior level administrative support to the Vice-Provost and Graduate Studies Dean (Dean). The role prioritizes the objectives of the business to provide briefings to the executive and plays a key role in assisting the Dean in managing and prioritizing competing demands for their time and attention. The role acts independently to determine when to involve the Dean, assists the Dean in the punctual delivery of communications and proactively managing the Dean’s calendar, meetings, workshops, travel, speeches, etc. The role gathers, coordinates and prepares the necessary information, materials and resources for meetings and events. The role supports the Dean in their development of strategies and plans, including the annual budget. The role carries out special assignments, which may involve research and analysis activities. Ensuring the proper management and approval of individual and corporate expenses and managing budget reports as required.

Qualifications

Bachelor's Degree in Business or Administrative Management or related field, and four years of directly related experience, or an equivalent combination of education, training, and experience.

  • Excellent organizational, time management, customer service and interpersonal skills.
  • Excellent analytical and problem-solving skills.
  • Excellent communication skills (both oral and written).
  • Excellent attention to detail, including accuracy of data.
  • Ability to record and transcribe minutes.
  • Ability to supervise temporary staff.
  • Ability to exercise good judgment in the composition and distribution of critical and highly sensitive and confidential correspondence.
  • Ability to maintain strict confidentiality.
  • Proficient in the use of word processing, email, internet browser, calendar, presentation, database, and spreadsheet applications (Word, Outlook, SFU Connect, Explorer, PowerPoint, FileMaker Pro, Excel).
  • 60 wpm keyboarding skills with a high degree of accuracy.
