School Clerk
100% Term to June 27, 2025
This is a full-time, 10-month term position in a High School (Grades 7-12).
Under the direction and supervision of the Head Secretary, the incumbent provides clerical support within the school. The successful candidate requires good organizational and interpersonal skills;
ability to adapt with flexibility in job duties and constant interruptions; and to deal tactfully with staff, students and the general public.
Duties and responsibilities may include but are not limited to :
- Provides secretarial support to the administrator, preparation of general correspondence, reports, forms, handbooks, newsletters, and workshop material which includes handling of confidential material;
- Maintains databases and spreadsheets;
- Maintain school webpage;
- Manages printing report cards;
- Maintains and manages Mayet and school wide equipment and material inventory software;
- Answers telephone, redirect calls, and / or take messages and answers general inquires;
- Greets and screens visitors and appointments;
- Monitors PA system;
- Provide library support;
- Responsible for student registrations and maintaining student records including timetables;
Types, formats, and proofreads a variety of material including : correspondence, minutes, agendas, policies, procedures, etc.
- from material provided by the school administrator;
- Contacts parents, volunteers, community members, and organizations when necessary and appropriate;
Other duties as required.
Qualifications :
Completion of secondary education with 1- 2 years of office experience and relevant coursework / training
Proficient in Microsoft Office Word and Excel at an intermediate level
Accurate keyboarding of at least 40 words per minute
- Experience with Mayet, Absence Management, and Solar Winds an asset;
- Ability to prioritize a large workload and independently complete a variety of secretarial duties;
- Ability to work in a fast paced environment and work effectively under pressure to meet deadlines;
- Demonstrated problem-solving skills;
Demonstrated ability to effectively contribute to a team environment; and
Ability to maintain a high level of confidentiality
