Key Responsibilities :
- Answering phones, filing, incoming / outgoing mail, accounts receivable, ordering office supplies and office equipment maintenance (call contractor).
- Assisting with payroll back-up, credits, debits, freight claims.
- Processing reel returns / maintenance.
- Responding to customer service and customer complaints.
- Preparing outgoing mail and correspondence including e-mail and fax
- Creating reports using excel.
- Preparing expense reports.
- Organizing conferences / meetings (catering, booking rooms).
- Preparing promotional packages.
- Assisting with inventory control for promotional incentives
- Liaising with customers / clients.
- Maintaining printer / photocopier toner cartridges inventory.
- Respond to requests to pull paperwork : Invoices, receiving reports and Etc.
- Processing cash sales / customer payments.
- Obtaining freight rates.
- Back-up invoicing & exception follow up.
- Other duties as required.
Required Qualifications :
- One to three (1-3) years administration experience in a busy office environment.
- High School Diploma required. Preferably post-secondary education in Administration or Business Management.
- Must be proficient with MS Office (Excel, Outlook, Word, PowerPoint).
- Self-motivated with strong administrative and analytical skills.
- Exceptional organizations skills with the ability to effectively multitask.
- Effectively prioritizing tasks.
- Optimizing time effectively.
- Keenly pays attention to detail with high level of accuracy.
- Ability to work with a team and independently.
- Professional phone and email étiquette.
- Strong verbal and written communication skills.
- Willingness to learn new initiatives that support the department.
Overtime - the role requires additional hours during month end. There is a rotating schedule and extra hours will be required to fulfill month end duties.
Besides month end, the role may require working above the regular hours of work, to fulfill business needs. Overtime pay would be compensated for additional hours worked.
