Key position functions include :

  • Responsible for day-to-day administration requirements for the Engineering group, including general organization, records management, and event coordination.
  • Prepare meeting agendas and take minutes, when required.
  • Create and maintain SharePoint and OneFlo folders.
  • Upload Engineering design files and maintenance manuals and maintain accurate naming conventions.
  • Complete monthly Engineering report using SAP and Windchill.
  • Assist with expense reports and submissions.
  • Act as a Responsible member’ of Apega, managing updates by adding and removing Engineers, as required.
  • Print and distribute monthly safety posters.
  • Assist the Quality department with MTR packages, when required.
  • Book boardrooms, plan events and ensure boardroom organization and cleanliness.
  • Provide reception relief coverage.
  • Order and maintain office supplies / stationery, printed material (forms, envelopes, etc.) and custom stamps and distribute to appropriate areas and branches, when required.
  • Set up and prepare for various in-house functions.
  • Distribute incoming mail / interoffice mail.
  • Liaison for secure paper shredding.
  • Print and laminate visitor and contractor badges.
  • Assist with pool vehicles, when required.
  • Create salary purchase orders for International Wellhead Department.
  • Maintain postage machine and ensure funds are available.
  • Other duties, as assigned, by the Senior Administrative Assistant.

Preferred candidates will possess a combination of the following qualifications :

  • Post-secondary diploma or certificate in Office Administration with a minimum of three (3) years’ experience in a fast-paced office environment.
  • Experience in providing administrative support in the oil and gas industry would be an asset.
  • Computer proficiency and strong working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) and SharePoint.

Knowledge of SAP is an asset.

  • Excellent communication (written and oral) and customer service skills (confident public speaker).
  • Strong interpersonal, time management, organizational and planning skills.
  • Self-motivated, ability to work with minimum supervision, and a team player.
  • Strong attention to detail.
