Job Description
This position provides office support to a variety of managers and department heads. Incumbents must be capable of multi-tasking to meet the department needs of working with multiple managers and assignments simultaneously.
This position operates under limited supervision. Often assigned tasks to lead to completion and work independently.
- Keys in, edits, invoices, forms, presentations and other documents, using computer systems and software.
- Assist with collections activities
- Sourcing and creating purchase requisitions and receiving of goods and services in the system.
- Classify, code, cross-reference, log and stores records.
- Maintains and prepares reports from manual or electronic files, inventories, mailing lists and databases.
- Timecards - verifying the group has completed all time cards.
- Adhere to the strictest confidentiality due to the possibility of being present in confidential conversations and viewing confidential paperwork
- Determine process and verify software applications, receipts, expenditures, forms and other documents.
- Maintains payable and receivable accounting files.
- Bills receivables through the BOSS and LIMS systems.
- Policing and training of timecards with employees.
- Ensures smooth operation of office equipment and machinery and arranges for any maintenance and repair work.
- Arranges luncheons, meetings and client functions, and co-ordinates attendees.
- Arranges travel and accommodation reservations.
- Provides mutual back-up support for Invoicing & other Administrative staff as required.
- Assist with client set up in BOSS
- Assist with invoicing as needed (LIMS, credit cards, cheque deposits, month end)
- May be assigned special or ad hoc projects, periodically.
Qualifications
- Education : Minimum of a High School Diploma (5 years) or a General Educational Development equivalency (GED).
- Education : Post-secondary education (College 3 years) in an Administrative field is a strong asset.
- Experience : 3 years of previous working experience in a Accounting Clerk / Administrative related role is required.
- Must be able to read, understand and follow work instructions in a safe, accurate and timely manner.
- Candidates must be proficient in using various types of computer software (Word, Excel. PowerPoint & Outlook).
- Proven ability to manage and coordinate multiple projects in a fast-paced, highly professional environment.
- Candidates must demonstrate excellent verbal and written communication skills including grammar and composition
- Ability to work well with others & independently.
- Proven time management skills and a strong attention to detail.
- Works well under pressure.
- Extended hours and shift work may be required from time to time.
- Ensures full compliance with the company’s Health & Safety, Code of Integrity, and Professional Conduct policies.
- Ability to work well with others, independently and remain at work station for extended periods of time.
