TheFront Desk Receptionist is the first point of contact for visitorsand clients responsible for creating a welcoming and professionalenvironment.
This role involves managing the front desk answeringand directing calls handling inquiries and performing variousadministrative duties.
The ideal candidate will have excellentcommunication skills a friendly demeanor and the ability to managemultiple tasksefficiently.
Greetand welcome visitors and clients with a positive helpfulattitude.
Maintaina visitor log ensuring all guests are properly documented and haveappropriateaccess.
Providegeneral information about the company including services officehours anddirections.
Ensurethe reception area is tidy and presentable with all necessarymaterials (e.g. brochuresforms).
Answerand direct incoming phone calls to the appropriate department orpersonnel.
Managevoicemail messages and ensure timely followup oninquiries.
Sortand distribute incoming mail and handle outgoing mail includingarranging courierservices.
Performdata entry tasks maintaining accurate and uptodate records anddatabases.
Preparedocuments reports and presentations asrequired.
Providesupport for company events and activities including logisticalarrangements and guestcoordination.
Operateand maintain office equipment such as fax machines copiers andcomputers.
Responsibilities :
Welcomeand greet visitors and clients warmly ensuring they feelcomfortable and attendedto.
Maintainan accurate log of all visitors including their names purpose ofvisit and time of arrival anddeparture.
Answerscreen and forward incoming phone calls professionally andpromptly.
Performother duties as assigned including special projects oradministrative tasks that support the overall operations of theoffice.
Handlesensitive and confidential information with discretion and inaccordance with companypolicies.
Assistin organizing company events meetings and other activitiesproviding logistical support asrequired.
Facilitatecommunication within the office helping coordinate betweendepartments.
Keepthe reception area tidy organized and stocked with necessarymaterials (e.g. brochuresforms).
Operateand maintain office equipment ensuring they are in good workingcondition.
Monitorand maintain inventory of office supplies placing orders asneeded.
Performdata entry tasks maintaining accurate records anddatabases.
Handleand resolve basic complaints or escalate them to the appropriatedepartment.

Requirements
Additionalcourse work or an associate degree in business administrationoffice management or a relatedfield.
Previousexperience in a front desk reception customer service oradministrative role. Experience in hospitality or retail can alsobebeneficial.
Excellentverbal and written communication skills for interacting withvisitors clients andstaff.
Demonstratedability to provide excellent customer service with a friendly andprofessionaldemeanor.
Abilityto handle inquiries and complaints with tact anddiplomacy.
Proficiencyin using office equipment such as telephones fax machinesphotocopiers andcomputers.
Competencewith office software applications particularly Microsoft OfficeSuite (Word ExcelOutlook).
Abilityto sit stand and walk for extendedperiods.
Additional course work or an associate degree in businessadministration, office management, or a related field. Previousexperience in a front desk, reception, customer service, oradministrative role.
Experience in hospitality or retail can alsobe beneficial. Excellent verbal and written communication skillsfor interacting with visitors, clients, and staff.
