Altis Recruitment is grateful to partner with an organization within the Broader Public Sector to support the recruitment of an Administrative Assistant for a 1 year contract that has the potential to transition into a permanent opportunity.

The Administrative Assistant supports teams including project support with tasks like managing documents, reports, presentations, meetings, technology, and general office duties.

This role works closely with other support staff to ensure the office runs smoothly.

This is a hybrid opportunity offering the flexibility of working 2x / week from home and 3x / week in the Calgary office (Tuesdays and Wednesdays mandatory).

Key Responsibilities :

Organize meetings : book venues, arrange catering, handle audio / visual equipment, set up video and teleconferences, and manage travel.

Prepare agendas, take minutes, and ensure attendees have all the necessary documents.

  • Manage calendars by scheduling meetings, video calls, and webinars with both internal and external contacts.
  • Operate and troubleshoot video / teleconferencing equipment.
  • Greet office visitors and assist with mail and courier services.
  • Ensure meeting rooms are tidy and stocked with supplies.
  • Format reports and presentations using Microsoft Office, following company standards.
  • Create graphic presentations and report templates, and help distribute final reports.
  • Manage electronic and paper records, including filing, storage, and disposal.
  • Stay updated on assigned projects and provide project support to the team.
  • Maintain databases, spreadsheets, and emails, ensuring accurate information.
  • Submit expense claims following company policies.
  • Provide backup support for other team members as needed.
  • Take on additional tasks or special projects as assigned.

Qualifications :

  • High School Diploma and Administrative Assistant Certificate or Diploma.
  • 5+ years of office administration experience.
  • Advanced skills in Word, Excel, PowerPoint, Outlook, Adobe Acrobat, and Microsoft Project.
  • Proficient with internet research and video conferencing tools (Zoom, Microsoft Teams).
  • Experience with databases and web programs.
  • Strong attention to detail and organizational skills.
  • Excellent client relationship and teamwork abilities.
