Job Summary

Based on the contractual requirements of the accounts, the Facilities Services Administrator assists the Facility Manager (FM) in performing diverse administrative tasks relating to building maintenance and operations at the TTC McNicoll Blvd and Markham Rd. facilities.

Responsibilities

  • Perform administrative duties related to the facilities maintenance operation including but not limited to; tracking and follow up of all preventive and corrective maintenance and ensuring all operational service reports, records, and documents are received and filed in an organized and easily retrievable fashion
  • Assist the FM in developing and producing all contractual periodic reporting
  • Manage the administrative duties relevant to all out-of-scope work.
  • Relating to all accounts payable, create and issue purchase orders, verify and process supplier invoices, resolve expense discrepancies
  • Produce and verify accuracy of all accounts receivable documentation
  • Manage the start to finish process of all service requests in a CMMS system
  • Monitor all service events to ensure relevant KPIs are met
  • Assist the FM in the development of annual budgets as well as tracking and reporting of all monthly expenses
  • Ensure all SOPs, checklists and inspection forms are updated and available to maintenance staff
  • Monitor and maintain adequate stock of all consumables relating to the maintenance operation
  • Ensure all health, safety, and security procedures are adhered to and all related records are current and filed
  • As needed, maintain timely communication between client representatives, colleagues, contractors, and other stakeholders in delivering all services.
  • Ensure compliance of all regulatory inspections and quality of services delivered by all service providers through periodic inspections and monitoring of work performed
  • Provide remote and / or site-specific emergency response as required.
  • Complete all other tasks required by the immediate supervisor.

Requirements

  • Experience in administrative duties in a commercial office setting
  • Familiarity with building equipment and systems in a commercial environment is an asset
  • Previous experience with navigating service requests in a computerized maintenance program.
  • Written and oral communication skills in English.
  • Computer skills
  • Ability to travel between sites using personal vehicle
  • Possess and maintain a valid G drivers license and reliable vehicle.
  • Strong customer service skills.
