Our client in the insurance industry is seeking a Senior Procurement and Vendor Analyst who is dedicated and detail-oriented.

This role is crucial for supporting Operational teams within Global Fund Services and other relevant teams. The main responsibilities include providing comprehensive support and policy guidance to contract managers, ensuring proactive management of contracts nearing expiration, and overseeing adherence to procurement policies and best practices in Global Fund Services.

The Senior Procurement and Vendor Analyst maintains high standards and efficiency throughout the contract lifecycle.

Responsibilities :

Contract Management Support

• Assist Contract Managers with contract-related queries regarding procurement processes and administrative functions.
• Oversee contracts nearing expiration, new or amended contracts, and act as the point person for service requests while ensuring contract managers make the final decisions.
• Coordinate workflow to ensure requests are processed within SLA, escalating to the appropriate areas as necessary.
• Review contracts for adherence to Global Fund Services’ best practices and coordinate reviews with signatories.
• Ensure procurement policy adherence and proper documentation.
• Monitor and ensure compliance with Vendor Payment Policy.
• Track contractual initiatives and follow up or escalate as appropriate.
• Maintain a listing of all contracts associated with the shared service team.
• Reconcile the contract tracking log with the contract repository quarterly to ensure all contracts and changes are accurately reflected.

Vendor Management Support

• Support Contract Managers with vendor management-related queries, processes, and requirements.
• Monitor GWAM VM deliverables to contract managers, including setup.
• Review risk memos and SOC reports with contract managers and provide comments.
• Track and monitor receipt of Vendor Management Review templates and annual Appendix H, reviewing them for completeness with contract managers.
• Coordinate and escalate issues to the appropriate areas as necessary.

Miscellaneous

• Support the onboarding of internal clients into the Contracts and Vendor Management Program, including training and contract cleanup.
• Identify and propose solutions to improve current processes, adding value and efficiencies.
• Collaborate with key partners such as Stakeholders, Procurement teams, Operational Leaders, and GWAM VM team.
• Assist with metrics creation and reporting.

What you will need to succeed :

• 3+ years of contract administration or equivalent business experience.
• 3 years of experience with Microsoft Excel.
• Knowledge of contract administration and risk management practices.
• Familiarity with the Asset Management industry (mutual funds, segregated funds, etc.).
• Experience in a client-facing, matrix, project-based organization is preferred, often gained through prior audit, advisory, consulting, or public accounting experience in a Big Four or other professional services firms, or other large organizations.
• Excellent communication skills, both verbal and written.
• Ability to deliver key messages clearly and concisely.
• Results-oriented with a focus on quality, delivering value, and strong attention to detail.
• Ability to balance priorities and meet deadlines.
• Strong analytical and problem-solving skills.
• Good organizational and planning skills.
