Your impact :
As a Facilities Rental Clerk, you will be responsible for :
Responsible for the weekly deposits and having all balancing entries input into the Diamond accounting system, journal entries prepared and packaged up for armored car pickups.
This includes balancing all cash / coin floats, batching debit machines, event revenue deposits, balancing event reports to sales, deposits, credit card entries from departments, and care & control of petty cash.
Complete bank runs to TD Bank for petty cash as required.
Support the Coordinator, Facilities, Rentals & Marketing on a daily basis, with meeting room bookings, set ups & tear-downs, client invoicing, box office and road sign programming.
Assists with all major event bookings and supporting any requests by event promoters. Order all supplies to support running of the office including all box office supplies.
- Demonstrate excellent public relations, interpersonal, problem solving and organizational skills. Ability to answer client questions and complaints in a highly professional and competent manner.
- Assist in the administration of Pop Up Shop booking contracts from May to October each year, confirm insurance and book in Perfectmind.
Set weekly access codes on the pop up shops and communicate with all users in regards to policies and procedures.
Responsible for selling tickets on the Ticketpro ticket system for all shows including the Cornwall Civic Complex, Aultsville Theatre, Benson Centre, Arts Centre and Cline House.
Duties include event settlements and journal entries to balance accounts.
Responsible for scheduling and coordinating municipal recreation facility bookings for organized sports, community associations and users.
These facilities may include up to and including all the following amenities : arenas, courts, fields, pitches, parks, sport association offices, meeting / storage rooms, including art center bookings.
- Assist with related functions at the Aquatic Centre and Benson Centre Reception such as, but not limited to, registering clients / customers, answering phones, selling tickets to recreation drop-in programs and sell membership as required.
- Perform other related duties as assigned including aiding, and / or vacation coverage to other staff in the department.
- Assist the Supervisor, Complex Maintenance on a daily basis, with coordinating the weekly staffing schedules (with many repeated staffing additions / changes).
- Responsible for coordinating park rental and liaise with community groups by coordinating set and maintenance of the parks when needed.

Essential Qualifications :
- Graduate of a two-year college diploma in Recreation & Leisure Services, Business Administration, Special Event Planning or equivalent.
- Must possess a minimum of two years recent experience handling cash which includes accepting, balancing, depositing, and safeguarding funds.
- Recent experience using web-based scheduling programs (example : Ticketpro) with direct knowledge of ordering, tracking, selling, monitoring, refunds, and balancing of daily deposits and show settlements.
- Must have knowledge of bookkeeping, accounting procedures, and settlements.
- Bilingual (French & English) required. Testing will occur
- Intermediate skill level in Microsoft Office (Outlook, Word, Excel, Teams); Testing will occur.
- Must be able to work flexible hours including evenings & weekends, and different municipal locations.
- Superior verbal communication & customer service skills including the ability to communicate and liaise with all staff, user groups and community organizations.

Desired knowledge, skills, and suitability / Asset Qualifications :
- Experience working with a municipal software (example : Diamond ) is an asset
- Experience with desk top publishing programs and preparing custom signage an asset.
- Experience with municipal recreation software (PerfectMind) and (SharePoint) an asset.
- Experience programming TV signage within municipal facilities, including road digital signage an asset.
These are competencies and / or job specific proficiencies that are effective to be successful in the role and may be assessed during the recruitment process.
