As a full service law firm with a history of over years in Vancouver, our client is committed to providing the highest standard of service to their clients, and strives to be one of the top employers in BC! Based in downtown Vancouver, they also has a busy Guildford office, in Surrey.
Our client is looking for a Receptionist, to add to their Surrey team.
Duties include :
Reception coverage including : greeting and directing clients and other visitors; answering the phone and directing inquiries;
managing email inquiries and checking / forwarding any voicemail
- Booking and setting up boardroom meetings and flex offices, keep boardrooms tidy
- Organizing various catering
- Receive and distribute mail & courier packets (inbound and outbound); tracking same
- Hosting duties (coffee / tea / refreshments, etc.)
- Filing, photocopying, scanning and files, as needed
- Office supply management, including kitchen and stationary
- Data entry including posting disbursements
- Print and create binders
- Manage premises requests
- Process client credit card payments
- Assist with billing (Mira 3E)
- Open files, perform conflict checks, modify files, close files
- Other duties as required, including administrative tasks and projects as required
Experience and competencies include :
- prioritize and manage a high volume of traffic / work in a very fast paced environment
- respond to various requests in a timely manner, for both internal (lawyers and staff) and external clients (when / if required)
- possess excellent verbal and written communication skills
- possess excellent customer service skills
- proficient in MS Office, primarily Outlook & Word
- display professionalism, discretion and confidentiality - must haves!
- be proactive and anticipate needs or next steps
Salary range : $45, to $53, per annum
The ideal candidate must be customer service oriented, professional, flexible, able to withstand pressure, able to prioritize and be able to multitask.
You are able to work independently but must also work well as part of a team. Must be a problem-solver and possess a strong attention to detail.
This can be an extremely fast faced environment with tight deadlines, at times. Must ensure confidentiality of clients, their files and any firm information.
A great attitude and sense of humor is a must! Legal and / or professional services experience would be an asset.
