About You

Constructor is looking for a proactive and highly organized Executive Assistant to support our Chief Executive Officer. You will act as a gatekeeper and trusted partner to CEO and your primary goal will be to make him more efficient with his time.

You’ll be expected to have the utmost integrity in your relationships across the company and maintain complete confidentiality when handling sensitive information.

The ideal candidate will be able to proactively identify problems and to proactively bring solutions, manage multiple priorities efficiently, and take ownership of special projects from conception to completion.

In this role you will be covering the below areas :

Operations :

  • Proactively designing the calendar to reflect the CEO’s workflow for maximum efficiency.
  • Finding places within the CEO’s workflow that can be made more efficient or otherwise delegated.
  • Handling day-to-day calendar management for the CEO, including scheduling meetings and calls.
  • Managing expense reporting so that it is submitted in a timely manner.
  • Working closely with the CEO and leadership team to support executive initiatives and streamline processes.
  • Manage action items required of the CEO and drive to completion with the CEO.
  • Identifying opportunities for process improvement and implementing solutions.
  • Taking on special projects as assigned by the CEO.

Strategy :

  • Create and organize briefing materials for events, in-person and virtual meetings.
  • Attend select meetings with the CEO, take notes and synthesize action items for follow up.
  • Anticipate when information will be needed and create systems with the CEO to ensure that resources or materials are available.

Travel & Events :

  • Collaborating with the CRO, COO, and Director of People Operations to plan and execute special events for department leads or company wide.
  • Coordinating all logistics and planning for special events : venue research and selection, catering, travel arrangements, onsite AV, content management, event budget, accommodations, and communication to the broader team.
  • Manage and facilitate travel arrangements including air and accommodations.

Requirements

  • Related experience in an executive assistant role
  • Openness and flexibility to work across time zones when needed
  • Experience working with a diverse team to complete individual projects
  • Strong knowledge of G Suite including Gmail and Google Calendar
  • Strong knowledge of Slack
  • Strong attention to detail and the ability to juggle multiple competing priorities
  • Top-notch organization skills
  • Team player, you love helping others
  • Thrives amidst ambiguity and regularly changing environment
  • Outstanding verbal and written communication
  • Advanced presentation and project management skills
  • We are looking for someone who is based in the Eastern Time Zone, anywhere within that time zone
