Excel Personnel has been retained by a Leader in the Kamloops Real Estate Market to recruit their next Office Administrator .

Our Client has a team of real estate professionals who work together to provide their clients with the best possible service.

We are currently seeking a Real Estate Administrator to join our Clients team.

The ideal candidate will have experience working in a real estate office, managing multiple tasks simultaneously, and providing excellent customer service.

He or she will be responsible for a variety of administrative tasks, including but not limited to : answering phones, greeting clients, preparing documents, scheduling appointments, and maintaining files.

The Real Estate Administrator will be a key member of our Clients team, providing support to their agents so that they can focus on generating business.

Duties & Responsibilities :

  • Answer all incoming calls and directing them to the appropriate party or take messages
  • Provide phone assistance to Buyers & Sellers and general inquiries
  • Schedule showings with Sellers and Realtors, provide feedback to Sellers via email or phone
  • Create & reply to emails in a timely manner
  • Ensure all marketing, bios, social posts and website are accurate and up to date
  • Produce time sensitive tasks (Open house, ad deadlines etc.)
  • Data entry into Word, Excel and Microsoft Publisher
  • Send paperwork via Docusign
  • Order forms and documents online (BIR's, Strata docs, Title docs)
  • Order office supplies, swag, For Sale signs etc.
  • Maintain the quarterly mail out list and create a calendar mailout at Christmas
  • Maintain detailed record keeping
  • Manage Listing and Closing files, confirm all paperwork is completed in a timely manner
  • Prepare Market evaluation booklets, Buyers guides, flyers and other marketing materials as requested by the agent
  • Scan documents, photocopy, maintain annual physical and digital document storage
  • Greet clients and visitors in a professional manner and provide them with assistance as needed
  • Maintain an organized and clean office area at all times
  • Handle all administrative tasks assigned by the agent, including but not limited to preparing documents, scheduling appointments, and maintaining files
  • Keep abreast of new real estate listings in the area and be familiar with the features of each property
  • Perform any other duties as requested by the agent

Required Skills and Qualifications :

  • 3-5 years experience in a real estate administration role
  • Proficient in Microsoft Office, DocuSign, with aptitude to learn new software and systems
  • Exceptional organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Strong time management skills and multitasking ability
  • Highly motivated and proactive nature
  • Can work independently and as part of a team
  • Skilled in Microsoft Word, Excel, Publisher

Preferred Skills and Qualifications :

  • Experience with graphic design in Canva
  • Social Media management skills
  • Data entry into Webforms, Top Producer, Deal Manager & Xposure

COMPENSATION : $25.00 per hour $52.000 per annum

Hours of employment are based on a 40-hour work week, 8 : 30am to 4 : 30pm with an unpaid lunch period. If you are ready to contribute to a thriving workplace and meet the requirements mentioned, we would love to hear from you.
