JUNIOR HUMAN RESOURCES GENERALIST

ASCO is seeking a candidate to join its dynamic team as a Human Resources Generalist, with a focus on HRIS, Employee Group Benefits and HOOPP administration, support with recruitment and selection and the overall HR administrative processes for the team.
The Junior HR Generalist will support the Director, People and Culture and HR Generalist in maintaining the day-to-day operations of the various HR functions, policies, processes, protocols, and procedures.
With our current increase of in-person services, this position will be based in the Aurora office location, reporting to the Assigned Supervisor.
ASCO is required to follow all public health and provincial directives as well as of those of our Ontario Health Team partners as related to the pandemic and other health issues that may come forward, including but not limited to vaccination requirements.
This is a permanent full-time position for 35 hours per week and occasional evenings and weekends may be required.

Duties and Responsibilities include but are not limited to :
- Coordinate probationary performance review process following 3 months / 6 months of employment for new employees and gathering completed forms
- Act as a resource for leadership team for follow up of probationary review outcomes
- Administer and maintain Employee Group Benefits program (for example, salary updates, terminations, beneficiary, life event changes, enrolments, etc)
- Administer and maintain all functions of HOOPP (for example, terminations, enrolments, status updates, leaves, support with annual MDC reports, etc)
- Coordinate required updates and collect form submissions from staff, including, but not limited to Regulatory College Membership Updates, Emergency Contact and Employee Contact Information, training certificates, Employee Handbook and Clinical Policies Handbook Attestations, etc and update relevant spreadsheets and HRIS.
- Support and assist the HR Generalist in executing the full cycle recruitment & selection process, including, but not limited to : drafting job descriptions and job postings, conducting phone screenings, developing interview questions, coordinating and conducting interviews, completing reference checks, staff announcements, gathering and filing onboarding documentation, coordinating reimbursement for Police Vulnerable Sector Checks, creating employee files, etc.
- Coordinate and schedule Meet and Greets with new staff and leadership team
- Gather and compile completed annual performance evaluation forms and update accordingly in HRIS
- File staff documentation in HR files
- Support Accreditation process standards compliance
- Maintain updated staff information for Perkopolis and GoodLife
- Ensure daily tasks and responsibilities are conducted with an Anti-Oppression and Anti-Racism (AOAR) framework and through an AO / AR lens.
- Assist staff with the application and interpretation of the collective agreement and agency policies, protocols and procedures, when required
- Assist with compiling and gathering data for various HR Reports
- Coordinate and submit WSIB claims for employees as required
- Coordinate and track training and development initiatives within the agency and maintain staff’s talent profiles for all internal and external training
- Coordinate with Finance for the reimbursement of education allowance for agency staff upon completion of approved training
- Maintain accurate data and information of employee records on agency’s HRIS, ADP Workforce Now Time and Attendance platforms
- Collaborate in initiating the implementation of the various ADP Workforce Now platforms
- Provide support in identifying and troubleshooting issues within the HRIS by maintaining the existing ADP platforms with on-going updates and run ad-hoc reports through ADP Workforce Now as required
- Provide support and assistance to HR Generalist when required, in drafting employment agreements, contract extensions and internal employee transitions Review and ensure accuracy of time management records, including vacation, flex, paid personal leave, etc.
- Participate as active management member of Joint Health and Safety Committee (JHSC) and Labour Management Committee (LMC) as required
- Support health and safety initiatives and trainings
- Conduct presentations at all staff meetings as needed
- Conduct regular audits to verify staff registrations and memberships with professional colleges, associations and other regulatory bodies, and provide a comprehensive report to the Director, People and Culture with any follow up requirements
- Attend and participate in regular Supervision and Team meetings and Town Halls
- Other duties as assigned
Qualifications
- Graduate of a Human Resources Management Program from an accredited post-secondary institution
- Member in good standing with HRPA
- CHRP designation or in progress
- Must have a minimum of 1 year work experience in HR administrative functions
- Experience with ADP Workforce Now an asset
- Labour relations experience in a unionized environment an asset
- Thorough knowledge of the Ontario Employment Standards Act, Ontario Human Rights Code, Ontario Health and Safety Act, and other relevant legislation
- Sound knowledge, awareness and understanding of anti-oppression and anti-racism (AOAR) practice
- Exceptional interpersonal and organizational skills
- Proficient in French, an asset
- Extremely detail-oriented and solution-focused
- Excellent English communication skills, both written and verbal
- Sound problem solving and decision-making skills
- Ability to work independently and co-operatively as part of an interdisciplinary team
- Excellent working knowledge of full Microsoft Office Suite
- Able to maintain confidentiality and exhibit sound judgment
- Ability to prioritize multiple tasks in a fast-paced environment
- Excellent ownership and a can-do attitude
- A successful Police Vulnerable Sector Check, as per agency policy and procedures
- A valid driver’s license and access to an insured vehicle
