For over 30 years, ONFEs Volunteers in Education program has been recruiting, training and placing volunteers in schools, classrooms and virtually supporting students and teachers. Volunteers help kids shine inside and outside the classroom.

About the Role

We are looking for a bilingual (English and French), self-motivated, detail-oriented, highly organized, and versatile individual to join the Volunteers in Education (VIE) team. This role supports the delivery of the VIE program. Reporting to the Program Manager, you will bring a customer service focus to volunteer management and enjoy developing and nurturing relationships with adult volunteers and other key stakeholders within Ottawas public school system. You will be a vital touchpoint for volunteers and will be integral to the implementation of ONFEs volunteer programs and services. Comfortable working with data and a CRM system to apply a process-driven mindset and support effective data tracking and management.

Key Responsibilities

  • Implementation of volunteer programs and services.
  • Volunteer recruitment, engagement, and training in support of program delivery requirements.
  • Screen, match, and manage volunteer placements in consultation with Principals, Vice-Principals, and / or School Volunteer Coordinators.
  • Develop and foster respectful and accountable working relationships with key stakeholders, internal and external to ONFE.
  • Support VIE partners to promote accurate volunteer postings and referrals.
  • Administer ONFEs volunteer CRM to effectively manage the VIE programncluding reporting.
  • Maintain complete and accurate program documentation.

Qualifications

  • Post-Secondary education in Human Resources, Education, Social Sciences, Community Development, Adult Education, or equivalent.
  • College certificate in Volunteer Management, or equivalent, is an asset.
  • Professional certification from theCouncil for Certification in Volunteer Administration is an asset.
  • Satisfactory Police Record Check in alignment with ONFEs Conditions of Employment Policy.
  • Drivers license, and access to a reliable motor vehicle with insurance coverage that has no policy restrictions for work related driving.
  • Fluency in English and French (oral and written). French and English language proficiency is Level C-Advanced (Reading, Writing, and Oral Interaction), equivalent to theFederal Government Second Official Languages Qualifications.
  • Required Skills / Experience

  • Minimum 3-5 years of experience coordinating volunteers.
  • Minimum 3-5 years of volunteer database experience.
  • Knowledge of the Ottawa education system and ancillary services.
  • Adaptable and proactive in supporting change and innovation.
  • Strong ability to collaborate and maintain positive partnerships
  • Strong problem-solving skills with a constructive and creative approach.
  • Strong written and oral communication skills to achieve top quality customer service.
  • Technical aptitude and proficiency with experience managing a volunteer CRM and using data to inform program decisions.
  • Demonstrated analytical skills with excellent attention to detail.
  • Demonstrated organization and time management skills with the ability to meet deadlines.
  • Ability to maintain a standard of privacy and confidentiality in the performance of duties.

    Depuis plus de 30 ans, le programme Bnvoles en ducation du ROPE recrute, forme et place des bnvoles dans les coles et les salles de classe, et soutient virtuellement les lves et les enseignants. Les bnvoles aident les enfants s'panouir l'intrieur et l'extrieur de la salle de classe.

    Nous sommes la recherche dune personne motive, versatile, dote dun sens du dtail et dun grand sens de lorganisation qui se joindra lquipe du programme Bnvoles en ducation. Ce poste consiste soutenir la mise en uvre du programme. Sous la responsabilit de la gestionnaire du programme, vous adopterez une approche axe sur le service la clientle dans la gestion des bnvoles. Vous aimez tablir et entretenir des relations avec des bnvoles adultes et d'autres intervenants cls au sein du systme dducation publique d'Ottawa. Vous serez un point de contact essentiel pour les bnvoles et vous ferez partie intgrante de la mise en uvre des programmes et services de bnvolat du ROPE. Vous pouvez travailler facilement avec les donnes et le systme de la relation client (CRM), ce qui vous permet d'adopter une approche axe sur les processus et de soutenir un suivi et une gestion efficaces des donnes.

    Principales responsabilits

  • Mise en uvre des programmes et services de bnvolat.
  • Recrutement, mobilisation et formation des bnvoles pour rpondre aux exigences du programme.
  • Prslectionner, jumeler et grer les placements de bnvoles en consultation avec la direction des coles, y compris les directrices et directeurs adjoints et les coordonnatrices et coordonnateurs des bnvoles dans les coles.
  • Crer et favoriser des relations de travail respectueuses et responsables avec les principales parties prenantes du ROPE, aussi bien lintrieur qu lextrieur de lorganisme.
  • Soutenir les partenaires de Bnvoles en ducation afin de promouvoir l'affichage des postes de bnvoles et les recommandations de bnvoles.
  • Administrer le systme CRM des bnvoles du ROPE afin de grer efficacement le programme Bnvoles en ducation compris la production de rapports.
  • Maintenir une documentation complte et prcise sur le programme.
  • Qualifications

  • tudes postsecondaires en ressources humaines, en ducation, en sciences sociales, en dveloppement communautaire, en ducation des adultes ou l'quivalent.
  • Certificat d'tudes collgiales en gestion des bnvoles, ou l'quivalent, serait un atout.
  • Une certification professionnelle duCouncil for Certification in Volunteer Administration serait un atout.
  • Vrification policire des antcdents judiciaires satisfaisante, conformment la politique et aux conditions demploi du ROPE.
  • Permis de conduire et accs un vhicule moteur fiable avec une couverture dassurance sans restriction relative la conduite dans le contexte professionnel.
  • Matrise de langlais et du franais (oral et crit). Les comptences linguistiques en franais et en anglais sont de niveau C-avanc (lecture, criture et interaction orale), ce qui quivaut aux Normes de qualification relatives aux langues officielles;

  • Au moins 3 5ans dexprience en coordination de bnvoles.
  • Au moins 3 5ans d'exprience dans le domaine des bases de donnes de bnvoles.
  • Connaissance du systme dducation d'Ottawa et des services auxiliaires.
  • Capacit d'adaptation et initiative en matire de soutien au changement et l'innovation.
  • Grande capacit collaborer et entretenir des partenariats constructifs.
  • Solides comptences en rsolution de problmes selon une approche constructive et crative.
  • Solides comptences en communication crite et orale pour offrir un service la clientle de grande qualit.
  • Aptitudes techniques et matrise de la gestion d'un systme CRM pour bnvoles et de l'utilisation des donnes pour clairer les dcisions relatives au programme.
