Position : Administrative Assistant (Investments Industry)

Location : Toronto

Job Type : Permanent

Schedule : Hybrid, 4 days onsite

Quantum has an immediate requirement for a highly efficient, detail oriented Administrative Assistant who has experience working in a fast-paced environment, and is comfortable working both as part of a team and independently.

Key Responsibilities :

  • Support a team with day-to-day administrative tasks (including Exectives, Analysts, etc.).
  • Coordinate meetings, manage multiple executive calendars, and arrange international travel logistics.
  • Organize team events and activities.
  • Handle sensitive information with discretion.
  • Process expense reports and reconcile credit card expenses.
  • Collaborate with other executive assistants to ensure smooth departmental operations.
  • Represent the organization professionally in all interactions, internally and externally.

Qualifications :

  • College diploma or bachelor's degree.
  • 2+ years of high-level administration experience in a fast-paced professional environment.
  • Experience working in Financial Services, Consulting, Legal or similar preferred.
  • Skilled in complex calendar management, travel booking, and event planning.
  • Proficient with MS Office (Word, Excel, PowerPoint, Outlook).
  • Strong communication and interpersonal skills.
  • Ability to work under pressure and meet tight deadlines.
  • Highly organized, with the ability to multi-task and prioritize.
  • Professional, adaptable, and able to work flexible hours when needed.
