STARS is looking for an experienced Administrative Assistant, Operations ,to join the team full time at our Calgary base.
Reporting to the Provincial Director, Alberta Operations, the Operations Administrative Assistant will provide experienced administrative support and serve as a link between the leadership team, program leads, and team members.
This is a busy role that is responsible for a number of confidential, and critical administrative tasks that are an integral to the STARS’ team.

In your current or previous role(s), you are known as a go-to person and someone who gets the job done. You have exceptional communication and organizational skills and a strong attention to detail.
You bring flexibility and the ability to pivot with a multitude of priorities and requests from various departments and individuals. In this role you will :
- Provide administrative support to busy leaders and operational departments, including creating, proofing, and editing documents and presentations
- Coordinate meetings to include recording, transcribing and circulation of minutes
- Arrange travel bookings and coordinate expense processing on behalf of others
- Support scheduling and payroll coordination for operational teams
- Support coding of invoices and the budgeting process
- Assist with planning and organizing events and supporting tours of the base
- Handle ordering and acquisition of supplies
- Provide periodic reception coverage as needed
Who are you?
You are a self-confident, proactive individual who is a skilled administrator with strong interpersonal skills. You are known to remain calm when managing competing demands, are detailed oriented, and well organized.
In addition, you bring :
- A minimum five years’ administration experience in a multi-disciplinary environment
- A high degree of accuracy along with a track record of delivering work within established timelines
- You are highly motivated, enthusiastic team player with excellent communication skills
- Demonstrated flexibility to meet the changing priorities of the role, while maintaining focus and delivering results
- Ability to work independently and collaboratively on a wide variety of tasks within a multi-disciplinary environment
- Proficiency with Microsoft Office Products, at an advanced level, to include MS Word, Excel, Power Point, Project, and Visio
- Experience working with a not-for-profit organization is an asset
