Our client is a fully diversified private property development company that has been carrying out land development, construction, and property management in Canada and the United States for more than 50 years is seeking a Personal / Executive Assistant to join their team on-site in Toronto .
They are one of Toronto's most experienced and innovative real estate development companies and have earned a reputation for award-winning construction quality, beautiful designs, and efficient living spaces.
What you will achieve in this role :
- Manage daily scheduling for the President and Chairman
- Draft, review, and send communications on behalf of the above-named individuals
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Attend meetings and take notes of discussion
- Answer and respond to phone calls, emails, communicate messages and information to the two executives
- Prioritize emails and respond as necessary
- Assist with daily errands
- Coordinate all travel arrangements, including car, transit, train, and flight
- Maintain various records and a high degree of discretion and confidentiality
- Conduct research and create reports on various topics based on needs
- Collaborate internally with other departments
- Planning and organizing events that take place internally and externally such as fundraisers, sporting tournaments, etc.
- Start dishwasher every evening or as needed and put away all clean dishes daily
- Maintain and place order for office supplies
- Keep kitchen / boardroom / executive & chairman’s office tidy daily
- Handle mail drop off
- Ad hoc duties as assigned
What you Must Bring to this role :
- 2-5 Years of Personal / Executive Assistant experience
- Excellent written and verbal communication skills
- Time management and organizational
- Ability to pay attention to detail, while multitasking
- Proficiency in general computer software and programs, such as MS Office, Outlook, Excel, PowerPoint, etc.
- Energetic and eager to tackle new ideas
- Comfortable interacting with high-level executives
- Takes initiatives
- Be available at all times for emergency matters
- Must have a valid drivers license
- This position is fully on-site
