Reporting to the Manager of Scheduling Services, this role provides input and support to users on the functional and technical internal control of the staff scheduling system. This position is also responsible for analysis and reporting as required by the scheduling services department. The systems administrator is responsible for maintaining and updating the system setup; updating system configuration for policy and procedure changes; investigating and correcting errors from the HR information system; participating in system upgrades in collaboration with IT analyst; training frontline and administrative end users; and facilitating resolution of issues sent via the scheduling system internal customer system support email. In addition to this, the Systems Administrator will be responsible for maintaining and supporting a variety of reports or queries utilizing appropriate reporting tools; assisting in development of standard reports for ongoing customer needs; ensure the accuracy and quality of system information as used by management and internal administrator, including monitoring and analyzing scheduling information flow through manual and automated processes; interface with the IT department as the liaison to resolve low- to mid-level systems issues; develop systems procedures incorporating scheduling services business processes; and participate in systems-related projects from a scheduling services standpoint; continuous improvement projects for the department; ensure the scheduling system is updated with all HR policies, standards and procedures.
Accountabilities:
- Configure, maintain, and publish custom reports utilizing appropriate reporting tools.
- Assist in development of standard reports for ongoing customer needs.
- Ensure the accuracy and quality of system information as used by management and internal administrators, including monitoring and analyzing scheduling information flow through manual and automated processes.
- Collaborate with the IT department as the liaison to resolve low- to mid-level systems issues
- Develop systems procedures incorporating scheduling services business processes.
- Participate in systems-related projects from a scheduling services standpoint; continuous improvement projects for the department; and participate in developing, recommending, and implementing HR policies, standards and procedures as they pertain to scheduling services operations.
- Configuring charts, aggregating and formatting data in reports.
- Administrating the correct data views (ie Employee data views, business structure data views) and assigning it to the correct data view profile for applicable profiles.
- Troubleshoot system errors; access external partners to support escalation of system issues.
- Ensure the configuration and import of information from system interface.
- Assign and remove appropriate access as required in collaboration with IT and HR departments.
- Configuring KPI’s and metrics for business structure data views.
Qualifications
- Undergraduate degree or college diploma in computer science, information technology or related field required
- Two (2) years progressive related experience in an administrative support role for a software system required
- Knowledge of HR, Payroll, Timekeeping, and Scheduling an asset
- Experience with UKG Dimensions required
- Knowledge of the Collective Agreement or previous work in unionized environment preferred
- Working knowledge and experience maintaining and updating software application in a system administration role, including system configuration required
- Experience in investigating and correcting system and configuration errors
- Recent related experience working with a scheduling system an asset
- Proven ability to lead and work with teams
- Well-developed communication, interpersonal and organizational skills

- Travel between and work at all hospital sites as operationally required
Additional Information
Hours: Currently Days, 8 hour shifts. After hour work may be required during system upgrades (subject to change in accordance with operational requirements)
Salary:
Minimum: $40.78
Maximum: $50.97
