Major Duties

The Services Project Coordinator is a hybrid role responsible for both quoting service opportunities and coordinating the execution of small projects (up to $1M) once awarded. This position plays a critical role in supporting customers throughout the full-service life cycle—from initial scope definition and quotation through scheduling, execution, and close‑out.

Specific Responsibilities

Service Quoting & Front-End Support:

• Receive and review incoming service requests from customers, service technicians, and internal stakeholders.
• Prepare accurate and timely service quotations for:

  • Spare parts and minor modifications
  • Preventive maintenance
  • On-site service work and trainings
  • Small retrofits or upgrades
  • Develop cost estimates including labor, travel, materials, subcontractors, and risk contingencies.
  • Coordinate with engineering, automation, controls, and field service teams to validate technical scope and effort.
  • Ensure quotes meet internal margin, pricing, and approval requirements.
  • Track open quotes and follow up to support order conversion.

Small Project Execution & Coordination

• Once awarded, transition quoted work into executable service projects
• Create internal work orders/project files and ensure scope alignment with the original quote
• Preparation and maintenance of schedules and resource forecasting
• Coordinating, facilitating, and driving project scoping, planning, execution, and close-out.
• Manage project execution of small projects, including:

  • Monitoring progress against scope, schedule, and budget
  • Coordinating materials, spare parts, and documentation
  • Acting as the primary point of contact for customer communication

• Facilitate issue resolution related to scope changes, delays, or technical challenges.
• Arrange and lead meetings to coordinate the requirements of internal and external customers.
• Lead design reviews and team meetings as required.
• Review labour estimates, schedules, execution plans, inspection, test plans, and project oversight plans. Gather input from stakeholder departments and agencies to ensure project requirements are captured and detailed in the project documents.
• Manage change orders and revisions as required.
• Responsible for communicating schedule updates and progress on design tasks to the relevant stakeholders.
• Review and maintain awareness of all corporate and local procedures pertinent to engineering, quality assurance, and project management. Maintain process compliance during project execution and advise the supervisor if compliance cannot be achieved.
• Organize documentation, including quotes, correspondence, requisitions, drawings, schedules, etc., on projects you are supervising.
• Prepare and/or review engineering documentation as required.
• Review requests for proposal documents and participate in the preparation of the proposal.

Qualifications

Education:

• Diploma or degree in Engineering Technology, Business, Project Management, or a related field.

Experience/Requirements:
• 3-5 years of experience in factory automation or manufacturing environment, including experience leading teams or projects.
• A working knowledge of automation principles, including pneumatics, hydraulics, controls, and electrical devices.
• Experience preparing cost estimates or quotations for technical or service-based work.
• Understanding of basic project management principles.
• Familiarity with change management, scope control, and cost tracking.
• Proficiency with Microsoft software tools, including Word, Excel, and PowerPoint, etc.

Health & Safety Requirements

• Demonstrate leadership in Health, Safety and Environment compliance.
• Hold team members accountable for health, safety and environmental compliance as part of the annual performance review process.
• Ensure that the requirements of the health, safety and environment management system are implemented and maintained.
• Carry out hazard assessments, inspections, and audits as required by legislative framework and/or corporate requirements.
• Implement appropriate corrective measures for unsafe conditions and unsafe acts.
• Ensure that appropriate equipment, materials and protective devices are provided and maintained in safe condition.
