AECOM is actively seeking a detail-oriented and organized Project Administrator to join our team. The ideal candidate will be responsible for managing document control, coordinating field and equipment logistics, and supporting project management activities to ensure smooth and efficient project execution.

The role at AECOM will be a combination of project management and technical work delivery, though the work can/may vary based on the applicant’s experience and career aspirations.

This position is ideally suited to a junior to intermediate administrator or project coordinator with aspirations to develop their project management strengths. This position will primarily support acting project managers as a project coordinator on large archaeological/environmental projects.

Responsibilities may include:

· Logistics Coordination:

  • Plan and manage logistics for project-related activities, including fieldwork, meetings, site visits, and events.

  • Coordinate the shipment and delivery of project materials and equipment.

  • Ensure timely and efficient logistics support for project teams.

  • Manage health and safety tracking, field equipment tracking,

· Document Control:

  • Maintain and organize project documentation, ensuring all documents are up-to-date and accessible.

  • Ensure compliance with document control standards and procedures.

  • Track and manage document revisions and approvals.

· Travel Coordination:

  • Arrange travel accommodations for project team members, including flights, hotels, and transportation as required.

  • Manage travel itineraries and ensure all travel arrangements are cost-effective and within budget.

  • Coordinate travel schedules and resolve any travel-related issues.

· Project Support:

  • Assist project managers in tracking project progress and milestones.

  • Prepare and distribute project reports and updates.

  • Coordinate project meetings and prepare meeting agendas and minutes.

  • Flexibility to adapt to changing project requirements and priorities.


Qualifications

Minimum requirements:

  • High school diploma or equivalent
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook)
  • Ability to work independently and as part of a multidisciplinary team
  • Strong attention to detail

Preferred qualifications:

  • Diploma or certificate in Administration, Project Management, or related discipline
  • Prior experience in project coordination, project administration, or a similar role
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Proficiency with document control systems
  • Strong working knowledge of Microsoft Office applications (Word, Excel, etc.)
  • Ability to work independently as well as collaboratively within a team
  • Strong attention to detail and problem-solving skills
  • Knowledge of archaeology or cultural heritage is considered an asset, but is not required
