About The Role

We are looking for an organized, proactive, and personable Office Administrator to join our North York team. This position plays a key role in ensuring the smooth daily operation of our office. The ideal candidate thrives in a fast‑paced environment, enjoys helping others, and takes pride in maintaining an efficient and welcoming workspace.

Key Responsibilities

  • Manage office inventory including supplies, equipment, and kitchen stock, ensuring items are replenished and organized.
  • Oversee incoming and outgoing mail and deliveries, coordinating with courier and postal services as needed.
  • Greet and check in all visitors and guests, maintaining a professional and friendly front‑of‑office experience.
  • Support the Business Operations Manager and HR Manager in planning and executing company‑wide events, meetings, and team activities.
  • Ensure the office environment is well maintained, organized, and aligned with company standards for cleanliness and safety.
  • Track and manage water deliveries, maintenance requests, and vendor communications related to office services.
  • Coordinate with building management and service providers for repairs, maintenance, and facility improvements.
  • Assist in document organization, filing, and administrative support across departments.
  • Contribute to creating a positive, supportive, and inclusive workplace culture.

Qualifications

  • 0–2 years of experience in office administration, reception, or facilities coordination preferred.
  • Strong organizational and multitasking skills with excellent attention to detail.
  • Proficient in Google Suite (Docs, Sheets) and comfortable using digital tools for scheduling and inventory management.
  • Excellent written and verbal communication skills.
  • Friendly, professional demeanor with strong customer‑service orientation.
  • Ability to take initiative and work both independently and collaboratively.
  • Passion for sustainability and alignment with Polaron’s mission is an asset.
