The Opportunity - Summer Student, Conference Services Assistant - Temporary

The Conference Services Assistant provides support for planning, organizing, and executing events and conferences on campus. This role involves assisting clients, setting up event spaces, managing event logistics, and ensuring excellent customer service to create successful experiences for attendees. This position will directly interact with internal and external clients to provide services to meet conferencing requirements.

Key Job Functions

Reception Desk & Administrative Support

  • Greet and assist visitors, clients, and event organizers at the front desk at Student Residence by checking guests in and out, and collecting payments.
  • Answer phone calls and respond to emails regarding event services and reservations.
  • Provide information about event spaces, policies, and availability.
  • Assist with event bookings, process reservations, and update scheduling systems.
  • Maintain organized records of event requests, contracts, and invoices.

Event Support & Coordination

  • Assist in planning and executing conferences, meetings, and campus events.
  • Help with event setup, teardown, and on-site coordination.
  • Ensure that event spaces are properly arranged according to client needs.
  • Support audiovisual setup, including microphones, projectors, and presentations.
  • Monitor event activities and provide assistance to attendees and organizers as needed.

Customer Service

  • Provide exceptional customer service to ensure a positive experience for internal and external clients, as well as event attendees.
  • Address and resolve any issues that arise during events.

Education/Experience/Skills/Knowledge Required:

  • Post-secondary education preferred in a related field with one year experience in customer service, reception, or event coordination. A combination of education and experience will be considered.
  • Excellent computer skills and proficient in Microsoft Office suite and Google.
  • Experience with the use of technology such as Video Conferencing, projector and sound system equipment is preferred.
  • Demonstrate a strong dedication to promoting inclusivity and diversity.   • Demonstrates superior customer service skills and professionalism
  • Ability to multi-task while maintaining a high level of service and accuracy within a fast-paced environment.
  • Ability to foster excellent professional relationships with clients and departments on campus.

Conditions of Employment:

  • Availability to work evenings and weekends as the events dictate.
  • Must inform us of dates that candidate is not available during the summer.
  • Must respect and actively promote health and safety policies.
  • Successful candidates must be secondary or post-secondary students prior to and/or immediately following their work period.
  • A valid Driver's License
